This is, at its core, a personal assistant role, not a business operations role. If that sentence excites you, keep reading. If it doesn't, that's okay too.
What this role actually looks like day-to-day
70% Founder's Personal Life Management
30% — Business support
The role in plain English
Think of yourself as the founder's Alfred, the person who makes sure he's always operating at 100%. That means handling the things that eat into his time, attention, and energy: booking the right flight before he asks, managing his schedule so he never double-commits, tracking down vendors, coordinating events, and making sure no detail falls through the cracks.
Your job isn't to build a strategy. It's to protect the founder's time and cognitive energy so he can. A great day for you is one where he didn't have to think about the small stuff at all.
You'll thrive here if you
Genuinely enjoy organising other people's lives. You get satisfaction from a perfectly planned itinerary or a calendar that makes sense. You don't just tolerate this kind of work; you're good at it and proud of it.
Anticipate, don't wait. The best version of you books the flight before being asked, spots the scheduling conflict before it becomes a problem, and sends the update before it's requested.
Follow through without being followed up. When something lands in your lap, it stays there until it's done. Zero information loss from handoff to completion.
Handle sensitive information with discretion. You'll know a lot. You'll say very little outside the room.
Communicate clearly and without fluff. Bad news travels fast from you. Good news does too. You don't bury the lead.
This role is NOT for you if
You're looking for a business strategy role and expect the personal tasks to be occasional and minor; they won't be.
You feel like booking travel or managing a personal calendar is below you.
You need a structured 9-to-5 with neatly defined boundaries. Priorities here shift fast and sometimes at 11 pm.
You rely on being told what to do next.
What you'll actually be doing
No two weeks look the same, but here's a realistic picture:
Booking international flights & managing itineraries end-to-end
Owning the founder's calendar scheduling, protecting focus time, and resolving conflicts
Researching & booking restaurants, venues, experiences for personal and professional occasions
Managing personal vendors, contractors, services, subscriptions, and gifting
Organising team events and client dinners from brief to execution
Following up with teams and external stakeholders, so nothing stalls, waiting for a response
Handling ad hoc research flights, hotels, products, people, prices
Commissioning & coordinating special projects, custom gifts, creative work, and artwork
The non-negotiables
Trust is the only currency that matters here. These break it instantly:
Burying bad news in jargon. Say it plainly.
Making things look better than they are. We want the ugly truth early.
Excuses instead of ownership. Things go wrong, own it, fix it, move on.
What's in it for you
You'll operate closer to the decision-making centre of this company than most people ever get to in their careers. You'll see how a founder thinks, how deals get made, and how a company scales not from a slide deck but from the inside.
The scope for growth is directly proportional to the leverage you create. Deliver consistently, and your compensation reflects it. 2x in 6 months is real, not a pitch.
