Job Description – Personal Assistant to CEO

Position: Personal Assistant to CEO

Location: Magarpatta, Pune

Compensation: Up to ₹6,00,000 per annum (depending on experience and suitability)

Role Overview

We are seeking a proactive, trustworthy, and highly organized Personal Assistant to provide comprehensive support to the CEO in both professional and personal matters. The role requires a hands-on individual who is comfortable managing schedules, coordinating meetings, handling administrative tasks, running official errands, and ensuring smooth execution of day-to-day activities.

The ideal candidate should be based in or near Magarpatta, Pune, and possess excellent communication, coordination, and problem-solving skills.

Key Responsibilities

Executive Support

  • Manage the CEO's calendar, appointments, meetings, and travel schedules.
  • Coordinate with internal teams, clients, vendors, and external stakeholders.
  • Prepare meeting agendas, minutes, presentations, and follow-up actions.
  • Screen calls, emails, and correspondence and prioritize responses.
  • Track key tasks and ensure timely completion of commitments.

Administrative & Coordination

  • Handle documentation, filing, record maintenance, and confidential information.
  • Coordinate business meetings, events, and travel arrangements.
  • Assist in procurement, vendor coordination, and office-related requirements.
  • Liaise with government offices, service providers, and external agencies when required.

Personal Assistance

  • Manage personal appointments, bookings, and scheduling.
  • Run personal and official errands on behalf of the CEO.
  • Coordinate household, travel, banking, and miscellaneous personal requirements.
  • Provide support during business trips, events, and important engagements.

Operational Support

  • Follow up with various departments on behalf of the CEO.
  • Conduct basic research and gather information for decision-making.
  • Handle ad hoc assignments with minimal supervision.

Desired Candidate Profile

  • Graduate in any discipline.
  • 5-8 years of experience as a Personal Assistant, Executive Assistant, Founder's Office Executive, or similar role.
  • Excellent verbal and written communication skills.
  • Strong organizational and multitasking abilities.
  • High level of discretion and confidentiality.
  • Proficient in MS Office (Excel, PowerPoint, Word) and email management.
  • Ability to travel locally within Pune for official work.
  • Two-wheeler/four-wheeler and valid driving licence preferred.
  • Candidate residing in Magarpatta, Hadapsar, Amanora, Kharadi, Wanowrie, NIBM, Camp, or nearby areas will be preferred.
