We are seeking a highly efficient and trustworthy Personal Assistant to the Executive Director to provide high-level administrative and executive support in Mumbai. The role is responsible for managing the Director's day-to-day schedule, handling confidential communication, taking accurate shorthand dictation, preparing executive documentation, and ensuring seamless coordination of meetings, travel, and follow-up actions.
Key Responsibilities
- Take accurate dictation in shorthand during meetings, calls, and discussions and transcribe the same into professional documents, reports, and correspondence.
- Manage the Executive Director's calendar, appointments, meeting schedules, and ensure effective prioritization of daily activities.
- Handle confidential emails, correspondence, reports, and sensitive business information with complete discretion and professionalism.
- Prepare presentations, MOMs (Minutes of Meeting), executive summaries, and follow-up trackers for action points and deadlines.
- Coordinate internal, external, and board-level meetings, including stakeholder communication and meeting logistics.
- Maintain strict confidentiality and ensure smooth day-to-day office operations.
Looking For
- Mandatory shorthand proficiency with strong note - taking and transcription skills.
- Minimum 2 years of experience as a Personal Assistant, Executive Assistant, or in a similar administrative support role.
- Graduation is mandatory.
- Prior experience supporting senior leadership or director-level executives in an office-based role.
