Role Overview:
Integrow Asset Management Private Ltd is looking to onboard an experienced Personal Assistant to support the Partner – Strategy & Data at our SEBI-registered Real Estate Alternative Investment Fund. This role is central to executive operations, spanning institutional and personal wealth management. You will manage accounts, meetings, critical documentation, hospitality, and family office operations with discretion, strategic thinking, and meticulous attention to detail. You will be a trusted operational bridge between the Partner, the leadership team, investors, and external stakeholders.
Key Responsibilities:
Accounts & Financial Management:
o Manage accounts, including bank reconciliations, expense tracking, and financial reporting
o Prepare invoices, payment authorizations, and financial summaries for internal review
o Monitor vendor payments, subscriptions, and service contracts; negotiate terms where applicable
o Maintain detailed records of personal and family wealth accounts with quarterly reporting summaries
Meeting & Calendar Management:
o Schedule and coordinate meetings across institutional, personal, and family office contexts
o Prepare meeting briefs, agendas, background materials, and post-meeting summaries
o Optimize calendar to balance competing priorities and manage stakeholder expectations
o Track follow-ups from meetings and ensure timely execution of action items
Documentation & Record Management:
o Organize and maintain institutional and personal documentation in secure, searchable systems. Draft correspondence, emails, and internal memos with attention to tone and clarity.
o Prepare reports, presentations, and collateral for board meetings, investor communications, and family governance.
o Ensure compliance with documentation requirements across institutional and family contexts.
Guest Relations & Hospitality:
o Coordinate hospitality for institutional clients, investors, partners and family guests
o Arrange restaurants, venue bookings, transportation, and logistics for business and personal events
o Maintain relationships with preferred vendors (restaurants, hotels, services) and manage bookings
o Ensure seamless, thoughtful experiences for all guests and stakeholders
Family Office Operations
o Support family wealth reporting, asset tracking, and portfolio oversight
o Coordinate with wealth managers, advisors, and service providers on family financial matters
o Prepare family governance meeting materials and maintain family office calendars
o Manage discretionary personal projects and initiatives with strategic confidentiality
Travel & Logistics Coordination
o Plan and execute domestic and international travel, including flights, accommodations, ground transport
o Maintain travel preferences and itineraries; coordinate with business and personal schedules
o Handle visa applications, travel insurance, and administrative requirements
o Manage travel expenses and maintain detailed records
Qualifications:
• Bachelors in Finance or equivalent qualification from a reputed institution
Experience:
• 2–5 years of experience as a Personal Assistant, Executive Assistant, or Office Manager to C-suite executives or high-net-worth individuals
• Experience or familiarity with family office operations or wealth management (preferred)
• Exceptional organizational and prioritization skills; ability to manage multiple workflows simultaneously
• Advanced proficiency in Microsoft Office, Google Workspace, and financial/accounting software
• Fluency in English (written and verbal); Hindi fluency preferred
• Discretion, confidentiality, and professional judgment in handling sensitive personal and business information
• Strong written and verbal communication skills; ability to craft professional correspondence
• Proactive problem-solving orientation; comfort with ambiguity and ability to adapt quickly
