Job Description:

This is a full-time, on-site role located in Bengaluru for a Personal Assistant. The Personal Assistant will manage daily administrative and clerical tasks, provide executive-level support, coordinate schedules and appointments through diary management, and maintain effective communication with internal and external stakeholders. The role requires close collaboration with executives to ensure their daily activities are managed efficiently.

We are seeking a Personal Assistant who is highly organized, trustworthy, and flexible to support a Senior Executive / Business Head. The role involves extensive travel across India and abroad, handling executive schedules, and managing both professional and personal coordination with complete confidentiality.

Key Responsibilities:

Executive & Personal Assistance

  • Manage daily schedules, meetings, appointments, and reminders
  • Handle emails, calls, messages, and confidential correspondence
  • Coordinate personal and professional tasks as instructed
  • Act as a point of contact between the executive and stakeholders

Travel & International Coordination

  • Plan and manage domestic and international travel (flights, visas, hotels, transport)
  • Accompany the executive during travel when required
  • Coordinate meetings, schedules, and logistics during tours
  • Maintain travel documents, itineraries, and expense records

Administration & Reporting

  • Prepare reports, presentations, and meeting notes
  • Maintain files, records, and documentation
  • Follow up on action items and deadlines
  • Assist in organizing meetings, events, and conferences

Flexibility & Availability

  • Willing to work beyond regular hours as required
  • Handle urgent tasks, last-minute changes, and travel schedules
  • Maintain professionalism and composure at all times

Eligibility & Requirements:

  • Graduate / Postgraduate (any discipline)
  • Minimum 13 years experience as Personal Assistant / Executive Assistant (preferred)
  • Excellent communication skills in English (additional languages a plus)
  • Proficiency in MS Office, email handling, and calendar management
  • Willingness to travel frequently, including international travel
  • High level of confidentiality, integrity, and professionalism
  • Valid passport or willingness to obtain one
