Personal Assistant / Executive Assistant to the President of Indira University

Age

  • Approximately 30 to 40 years

Experience

  • 5+ years of experience as a Personal Assistant, Executive Assistant, or in a similar administrative role.
  • Proven ability to manage complex calendars, schedules, and confidential information.
  • Experience coordinating cross-functional activities and assisting senior leadership.
  • Strong familiarity with office management systems, documentation, and reporting processes.

Education

  • MBA in any discipline preferred.
  • Additional certifications or training in administration, communication, office management, executive assistance, fitness & wellness, or digital productivity tools will be an added advantage.

Role Summary

The Personal Assistant or Executive Assistant to the President will work closely with the President of Indira University to efficiently manage daily schedules, communication, coordination, travel, and professional engagements.

The role requires a highly organized, presentable, proactive, and professionally mature individual capable of handling sensitive matters with confidentiality while ensuring the smooth execution of meetings, events, travel schedules, and priority tasks.

The candidate should be flexible to travel with the President of Indira University for official engagements, meetings, events, and institutional visits as required.

Roles & Responsibilities

Schedule & Calendar Management

  • Manage the President's daily schedule, appointments, meetings, and travel plans.
  • Coordinate and prioritize appointments, reminders, and engagements efficiently.
  • Ensure seamless calendar management and timely scheduling of meetings and events.

Communication & Coordination

  • Draft, review, and handle emails, official communication, and follow-ups.
  • Coordinate professionally with internal departments, external stakeholders, and guests.
  • Facilitate smooth communication between the President's office and various stakeholders.

Meeting & Event Management

  • Ensure smooth execution of meetings, events, and priority tasks.
  • Prepare meeting schedules, reminders, documentation, and required coordination support.
  • Assist in organizing official events, visits, and professional engagements.

Administrative & Documentation Support

  • Maintain records, documentation, and communication files systematically.
  • Support planning, reporting, and execution of administrative tasks.
  • Manage confidential documents and sensitive information with discretion.

Executive Support & Assistance

  • Be available for coordination and support as per the President's work schedule.
  • Anticipate requirements and provide proactive assistance in day-to-day activities.
  • Handle multitasking responsibilities efficiently in a dynamic work environment.
  • Accompany and travel with the President for official commitments whenever required.

Required Skills & Competencies

  • Excellent spoken and written English communication skills.
  • Strong coordination, interpersonal, and organizational abilities.
  • Ability to multitask and manage dynamic schedules effectively.
  • Proficiency in MS Office Suite, email drafting, and calendar management tools.
  • Working knowledge of AI-powered productivity and presentation tools for PPT creation, documentation, scheduling, communication, and administrative support.
  • Strong time-management and problem-solving skills with attention to detail.
  • Professional maturity with the ability to maintain confidentiality and discretion.
