Key Responsibilities
- Travel arrangement & coordination:
- Arrange travel for technicians and staff as required.
- Book flight, train, and hotel tickets as per approved schedules with correct dates, names, and locations.
- Ensure zero booking errors and avoid rescheduling due to internal mistakes.
- Select cost-effective travel options in line with the company's travel policy.
- Share confirmed travel details with concerned staff well before the travel date.
- Administrative work & routine payments:
- Process petty cash, credit card entries (CEO/JMD), and routine payments within due dates.
- Ensure all financial entries are accurate and supported by proper bills and approvals.
- Coordinate interviews, vendors, and service providers smoothly without escalation.
- Follow up regularly to avoid delays, penalties, or missed payments.
- Office stationery inventory control:
- Maintain minimum stationery stock levels to avoid stock-out situations.
- Prevent excess purchasing and accumulation of obsolete stationery.
- Update the stationery stock register accurately on a monthly basis.
- Raise indents on time before stock reaches minimum levels.
- Records management & reporting:
- Maintain and update office files and records systematically.
- Ensure all documents are properly labeled and easy to retrieve.
- Submit required administrative reports on a weekly basis.
