Job Description

Personal Assistant to the Founder & Director

Key Responsibilities

Executive Support

  • Manage and coordinate the Founder & Director's calendar, appointments, and meetings.
  • Organize internal and external meetings, including scheduling, logistics, and follow-ups.
  • Take accurate meeting notes and prepare Minutes of Meeting (MoMs), ensuring timely circulation and action tracking.
  • Coordinate with internal teams and external stakeholders to ensure timely completion of tasks and deliverables.
  • Assist with daily administrative and operational requirements.

Personal Assistance

  • Coordinate personal appointments, including medical consultations and other commitments.
  • Track bill payments, financial updates, renewals, and important deadlines.
  • Manage reminders, errands, and personal administrative tasks as required.
  • Support with personal travel planning and logistics when needed.

Travel & Coordination

  • Plan and manage travel arrangements, including flights, accommodation, local transportation, and itineraries.
  • Ensure all travel-related documentation and schedules are organized and readily available.

Administrative Support

  • Handle ad hoc assignments and special projects as directed.
  • Maintain records, documents, and confidential information with discretion.
  • Leverage technology and AI tools to improve efficiency, organization, and workflow management.

Experience & Qualifications

  • 6–8 years of experience as a Personal Assistant, Executive Assistant, or in a similar support role.
  • Prior experience supporting senior leadership is essential.
  • Experience in the events, media, advertising, entertainment, or creative industry is preferred.

Skills & Competencies

  • Excellent organizational and time-management skills.
  • Strong verbal and written communication abilities.
  • Ability to multitask and work effectively under pressure.
  • High attention to detail and strong follow-through.
  • Tech-savvy with proficiency in Microsoft Office, Google Workspace, and AI productivity tools.
  • Ability to handle confidential information with professionalism and discretion.
  • Flexible and adaptable with work timings based on business requirements.
  • Strong interpersonal skills and a collaborative approach to working with teams.
