Role overview
The Payroll Specialist will be responsible for end-to-end payroll processing, payroll tax compliance, and issue resolution, ensuring accurate and timely payroll for all employees while supporting cross-functional projects and system enhancements.
Key responsibilities
- Manage end-to-end payroll processing and transmission on a bi-weekly basis, ensuring accuracy, completeness, and timeliness, including review and checker approvals.
- Identify and resolve tax fallouts by investigating discrepancies in payroll tax calculations, filings, and payments, and ensure corrective actions are completed and documented.
- Respond to agency notices from federal, state, and local tax authorities on payroll-related matters, including penalties, missing filings, or incorrect submissions.
- Communicate directly with tax agencies to clarify, dispute, or resolve outstanding tax issues and maintain proper records of all correspondence and outcomes.
- Participate in integration, testing, and implementation of payroll systems, enhancements, interfaces, and periodic updates to ensure smooth operations.
- Create and maintain detailed documentation of payroll business processes, workflows, system functionality, and steps required to execute payroll transactions for the extended payroll team.
- Support cross-functional projects and initiatives within the scope of payroll, HR, finance, and compliance as required.
- Act as a business analyst for payroll to support reconciliations for year-end activities (for example, W2s, benefits deductions, tax data, and master data).
- Handle all off-cycle payroll activities including manual checks, quick calculations, check reversals, prior quarter adjustments, and new state tax setups.
- Process and manage pending requests related to timecards, including timecard approvals, time cycle batches, and manual timecard requests.
- Perform manual payroll calculations and ensure compliance with state, local, SUI/SDI, and other legislative and regulatory requirements.
- Design and maintain process-wise SOPs for key payroll scenarios such as new hires, terminations, timecards, and different types of tax amendments.
- Partner with HR and Administration teams to provide guidance and support on payroll-related queries and activities.
Required qualifications
- Graduate or postgraduate degree with 5+ years of hands-on experience in end-to-end payroll processing.
- Strong in-depth knowledge of payroll processes, payroll taxation, and statutory compliances across relevant jurisdictions.
- Proven experience in handling payroll tax issues, reconciliations, and coordination with tax agencies.
- High level of proficiency in manual payroll calculations and reconciliations.
Preferred skills
- Experience with Dayforce payroll processing and payroll tax filing will be an added advantage.
- Strong documentation skills with demonstrated experience in creating SOPs and process maps.
- Strong analytical, problem-solving, and stakeholder management skills with attention to detail and sense of ownership.
