Role Summary
We are looking for a detail-oriented and experienced Payroll Specialist with strong expertise in Malaysia payroll operations and statutory compliance, along with exposure to EU & Emerging Markets payroll processing.
The role involves managing end-to-end payroll processes, ensuring statutory compliance, supporting global payroll operations, and coordinating with internal stakeholders and external payroll vendors.
Key Responsibilities
Malaysia Payroll (Primary Responsibility)
- Manage end-to-end payroll processing for Malaysia including monthly payroll cycles, off-cycle payments, and final settlements
- Ensure compliance with Malaysia statutory requirements (income tax, EPF, SOCSO, EIS, HRDF, etc.)
- Validate payroll inputs: attendance, leave, bonuses, deductions, tax adjustments
- Coordinate with Finance and HR teams for payroll inputs, bank files, and payments
- Reconcile payroll registers, bank files, and statutory submissions
- Handle employee payroll queries related to payslips, tax, and deductions
- Support annual activities such as EA forms, tax submissions, and reconciliations
EU & EM Payroll Exposure (Secondary Responsibility)
- Support payroll processing activities for assigned EU & EM countries in coordination with payroll vendors (e.g., Neeyamo)
- Validate payroll inputs and outputs to ensure accuracy and compliance
- Review payroll reports and highlight discrepancies for correction before sign-off
- Monitor vendor performance and ensure adherence to defined SLAs
- Assist in payroll transitions, stabilizations, and process improvements
Compliance & Governance
- Ensure adherence to local country labor laws, tax regulations, and statutory requirements
- Maintain proper payroll documentation and audit trails
- Support internal and external audits by providing required payroll data
- Identify risks and escalate payroll compliance or operational issues proactively
Stakeholder & Vendor Management
- Work closely with HR, Finance, and external payroll vendors across regions
- Act as a point of contact for payroll-related escalations
- Ensure timely communication and resolution of payroll issues
Process Improvement & Controls
- Participate in payroll process standardization and automation initiatives
- Strengthen controls to ensure accurate and timely payroll delivery
- Support global payroll transformation initiatives
Required Skills & Qualifications -
Education:
- Bachelor's degree in commerce / finance / HR / Accounting or related field
Experience:
- Minimum 4+ years of payroll experience
- Strong hands-on experience in Malaysia payroll and compliance (mandatory)
- Exposure to multi-country payroll (EU & EM preferred)
