Job Description

We are seeking an experienced US Payroll Specialist to process accurate, timely multi-state payroll and support ongoing improvements in payroll operations. This role works closely with HR and Accounting to ensure compliance, data integrity, and exceptional service to employees.

Key Responsibilities

· Process bi-weekly, multi-state payroll for hourly and salaried employees.

· Maintain accurate payroll records and ensure compliance with federal, state, and local regulations.

· Handle payroll functions including tax updates, garnishments, deductions, direct deposits, and reimbursements.

· Prepare and assist with monthly, quarterly, and year-end filings (W-2s, 941s, unemployment, etc.).

· Support payroll-related audits and system updates.

· Validate timesheets and ensure proper documentation for new hires, terminations, and status changes.

· Respond to employee payroll and timekeeping inquiries while maintaining strict confidentiality.

· Partner with HR and Accounting on reconciliations and month/year-end close activities.

· Assist with process improvements to enhance accuracy, efficiency, and internal controls.

· Review and validate employee timesheets for accuracy, completeness, and compliance with company policies.

· Verify hours worked, overtime, PTO, holidays, and leave requests.

· Administer employee benefits deductions — coordinate with HR to ensure accurate enrollment, changes, and payroll deduction setup for medical, dental, vision, FSA/HSA, and retirement plans.

· Assist with compensation changes — process merit increases, bonuses, commissions, and retroactive pay adjustments in collaboration with HR and Finance.

· Coordinate leave-of-absence pay — work with HR to calculate and process payments related to FMLA, disability, workers compensation, and other leave programs.

· Support annual processes — assist with open enrollment, year-end audits, ACA reporting, and compensation cycle activities.

Education and Experience:

· Bachelor's degree in accounting or related field preferred.

· Minimum 3 years of payroll processing experience for US operations.

· ADP Workforce Now experience strongly preferred.

· Advanced proficiency in Microsoft Excel.

· Strong knowledge of payroll laws, tax regulations, and compliance standards.
