We are seeking an experienced US Payroll Specialist to process accurate, timely multi-state payroll and support ongoing improvements in payroll operations. This role works closely with HR and Accounting to ensure compliance, data integrity, and exceptional service to employees.
Key Responsibilities
Process bi-weekly, multi-state payroll for hourly and salaried employees.
Maintain accurate payroll records and ensure compliance with federal, state, and local regulations.
Handle payroll functions including tax updates, garnishments, deductions, direct deposits, and reimbursements.
Prepare and assist with monthly, quarterly, and year-end filings (W-2s, 941s, unemployment, etc.).
Support payroll-related audits and system updates.
Validate timesheets and ensure proper documentation for new hires, terminations, and status changes.
Respond to employee payroll and timekeeping inquiries while maintaining strict confidentiality.
Partner with HR and Accounting on reconciliations and month/year-end close activities.
Assist with process improvements to enhance accuracy, efficiency, and internal controls.
Review and validate employee timesheets for accuracy, completeness, and compliance with company policies.
Verify hours worked, overtime, PTO, holidays, and leave requests.
Education and Experience
Bachelor's degree in accounting or related field preferred.
Minimum 3 years of payroll processing experience for US operations.
ADP Workforce Now experience strongly preferred.
Advanced proficiency in Microsoft Excel.
Strong knowledge of payroll laws, tax regulations, and compliance standards.
