Job Summary
The US Payroll Analyst independently manages endtoend payroll processing activities, with a primary focus on offcycle payroll obligations across multiple US states. This includes termination payments, retro adjustments, corrections, missed earnings, and other nonstandard payroll scenarios requiring advanced payroll knowledge, analytical skills, and adherence to US federal and state payroll regulations. The role ensures payroll accuracy, maintains audit-readiness, collaborates with internal teams, and supports continuous process improvements.
Key Responsibilities
- Process and validate offcycle payroll runs including retro pay, missed earnings, reimbursements, statutory adjustments, and final pay for terminated employees.
- Perform detailed validations of earnings, deductions, and taxes (federal, state, and local) to ensure accurate grosstonet outcomes.
- Ensure timely and compliant processing of final wage payments in accordance with statespecific final pay laws.
- Review payroll inputs from CDCM, HRIS, Terminations, Compliance, and Onshore teams; identify discrepancies and resolve proactively.
- Investigate payroll variances, conduct rootcause analysis, and document corrective actions.
- Work closely with Payroll Tax to resolve tax mismatches, jurisdiction-related corrections, and amendments.
- Manage urgent payroll escalations and compliancedriven payment requirements with appropriate communication and documentation.
- Maintain accurate and complete documentation for all payroll actions in alignment with internal controls and audit standards.
- Support quarterend and yearend payroll reconciliations, reporting, and adjustments.
- Monitor assigned payroll queues, prioritize workload, and ensure SLA adherence with minimal supervision.
- Contribute to process improvements, SOP updates, and knowledgesharing across the payroll team.
- Provide guidance and peer support to Associate Analysts as needed.
- Provide end-to-end customer support through multiple channels including Chat, Email, and Inbound/Outbound Calls, ensuring timely, accurate, and professional resolution of client and employee inquiries.
- Demonstrate flexibility to work in a 24/7 shift environment, including night shifts, weekends, and holidays, in alignment with business and client coverage requirements
Qualifications
Education:
- Bachelor's/Master's degree in Commerce, Finance, Business Administration, HR, or related field (preferred).
Experience
- 25 years of US payroll experience, preferably with offcycle or multistate payroll exposure.
- Experience in a PEO (Professional Employer Organization) or HR outsourcing environment is preferred
Certifications (Preferred)
- FPC (Fundamental Payroll Certification) APA
- CPP (Certified Payroll Professional) APA (desirable)
Skills & Competencies
- Strong understanding of US payroll regulations, including multistate taxation and wageandhour rules.
- Proficiency with HRIS/payroll systems such as People Soft, Workday, SAP, or similar platforms.
- Ability to analyze payroll discrepancies, interpret payroll reports, and perform reconciliations.
- Excellent communication skills for collaborating with crossfunctional teams and supporting escalations.
- High attention to detail, accuracy, and strong documentation discipline.
- Ability to manage multiple priorities and deliver within strict timelines in a highvolume environment.
- Intermediate to advanced Excel skills (VLOOKUP, pivot tables, validations, reconciliation formulas).
