Job Description: Payroll Documentation & Training Specialist

Role Summary

The Payroll Documentation & Training Specialist is responsible for creating, maintaining, and governing payroll Standard Operating Procedures (SOPs), process documentation, and training materials.

This role ensures consistency, compliance, and knowledge continuity across payroll operations while supporting transformation and transition programs.

Key Responsibilities

  • Develop and maintain end-to-end payroll SOPs including gross-to-net processes, controls, and compliance steps.
  • Create detailed process documentation such as SOPs, work instructions, runbooks, and job aids.
  • Standardize documentation formats across geographies and payroll processes.
  • Lead documentation during payroll transitions, migrations, and transformation projects.
  • Conduct training sessions for payroll teams (new hires and existing staff).
  • Develop training content including presentations, simulations, and reference guides.
  • Facilitate knowledge transfer (KT) sessions and ensure smooth handover during transitions.
  • Continuously update documentation based on regulatory, system, or process changes.
  • Collaborate with payroll SMEs, HR, Finance, and technology teams to validate content.
  • Support audit and compliance documentation requirements.

Key Deliverables

  • Comprehensive SOP repository for payroll processes
  • Process maps (SIPOC, flowcharts) and detailed work instructions
  • Payroll runbooks and checklists
  • Training materials (PPTs, guides, e-learning modules)
  • Knowledge transfer documentation and transition playbooks
  • Documentation governance framework and version control

Required Skills & Experience

  • 5–10 years of experience in payroll operations, documentation, or training roles
  • Strong understanding of payroll processes, compliance, and controls
  • Experience in SOP writing, process documentation, and knowledge management
  • Exposure to payroll platforms such as SAP, Workday, Oracle, or ADP
  • Strong communication and training delivery skills
  • Experience working in shared services or global delivery models is preferred
