Paralegal Associate – Legal (MIS / Admin )
Department: Legal
Reporting To: Legal Team
Location: Corporate Office - Vikhroli
About the Role
This role combines MIS/Excel specialization with legal-operations and office coordination for the Legal department. The successful candidate will spend the majority of their time managing trackers, dashboards, reports, and follow-ups in Excel and PowerPoint, while also supporting finance-related paperwork (invoices, budgets, approvals), Power of Attorney (POA) documentation, and general legal office administration.
This is a support/coordination role — not a legal drafting or litigation position.
In short: We're looking for someone strong in Advanced Excel and MIS reporting, highly organised, proactive in following up with stakeholders, and comfortable managing multiple administrative tasks simultaneously.
Core Skills Required
- Advanced MS Excel — formatting, formulas, trackers, and dashboards (the most critical skill for this role)
- Good working knowledge of PowerPoint for preparing review decks
- Strong organisational skills — able to track multiple parallel workstreams (invoices, POAs, documents, calendars)
- Comfortable coordinating with multiple stakeholders — law firms, finance, admin, and the Legal team
Key Responsibilities
1. Finance & Accounting Support
- Assist in preparing the Legal department's annual budget and monthly expense estimates
- Review law firm invoices and route them for approval (Legal team → department head → SAP processing)
- Upload approved invoices into the system and coordinate payments
- Notify law firms upon payment and coordinate TDS details
- Collect quarterly No Dues confirmations from all law firms
2. MIS, Reporting & Office Coordination
- Maintain and update trackers for team assignments, activities, and calendars; flag overdue items
- Keep dashboards and action-plan trackers current
- Format and clean up Excel sheets for MIS reporting
- Follow up with the team for updates/reports and compile them
- Track team travel budgets and coordinate travel arrangements (with admin, travel agencies, cab providers)
- Plan the Legal team's calendar and set reminders for key activities
- Prepare PowerPoint decks and submit reports on schedule
3. Power of Attorney (POA) Management
- Maintain the master POA tracker
- Issue new POAs and reissue expired ones per process
- Send renewal reminders and ensure timely renewal
- Collect and formally cancel POAs no longer required
4. Document & Records Management
- Maintain the inward/outward register for the Legal department
- Keep records of key correspondence with government bodies
- Maintain files for bonds, undertakings, and executed agreements
- File executed agreements and manage the overall legal filing system
- Manage the legal library/reference materials
5. Office Administration
- Handle procurement needs for the Legal department (stamp duty, notary services, stationery, etc.) in coordination with the Admin team
- Manage IT assets for the Legal team
- Coordinate printing/scanning support for the General Counsel's office
- Maintain a tracker of the Legal team's overall engagements
- Support other related tasks/projects as assigned
