The
PA to a Director will provide high-level
administrative, secretarial, and organizational support to ensure the Director's office runs efficiently. This role involves managing the Director's
schedule, communications, meetings, travel arrangements, and confidential information with utmost professionalism. The position requires excellent coordination skills, attention to detail, and the ability to act as the
primary point of contact for the Director, ensuring smooth day-to-day operations and allowing the Director to focus on strategic priorities.
Responsibilities
- Manage the Director's calendar, appointments, and meetings efficiently.
- Coordinate and prepare for meetings, including drafting agendas, recording minutes, and following up on action points.
- Handle correspondence, emails, and phone communications, ensuring timely responses.
- Arrange domestic and international travel, accommodation, and itineraries.
- Prepare reports, presentations, and briefing materials as needed.
- Maintain confidential files and sensitive information with discretion.
- Act as a gatekeeper and liaison, managing communication between the Director and internal/external stakeholders.
- Take initiative and make decisions in the Director's absence to ensure continuity of operations.
Skills/Experience
Education:
- Bachelor's degree or equivalent professional experience.
Experience
- Proven experience as a Personal Assistant, Executive Assistant, or in a similar executive support role.
Professional & Technical Skills
- Excellent organizational and time management abilities with the capacity to multitask effectively.
- Strong written and verbal communication and interpersonal skills.
- High level of discretion, integrity, and confidentiality.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint) and calendar management tools.
