Job Summary:
The Order Entry Agent is responsible for the accurate and timely entry of
patient orders into the EIS system. This role supports daily operations by
ensuring all incoming documents are processed in accordance with clientspecific guidelines, productivity expectations, and quality standards. The Agent
is expected to maintain consistency in performance, minimize errors, and
contribute to overall team efficiency.
Key Responsibilities:
Production Requirements:
Perform 8 hours of order entry production daily in alignment with
departmental expectations.
Meet or exceed the daily productivity target of 128 order entry actions
per day (or as defined by leadership).
Ensure all production is properly documented, including orders entered,
exams added, comments, and required actions completed.
Demonstrate the ability to manage workload independently and
prioritize tasks within the Document Worklist (DWL).
Escalate system issues, order discrepancies, or process gaps in a timely
manner.
Process Support:
Review and prioritize incoming documents in the DWL to ensure timely
processing.
Accurately enter orders for both new and existing patients following
established workflows.
Verify patient information to prevent duplicate records and ensure data
integrity.
Create and update patient records as needed, ensuring all required fields are
completed.
Select correct document type, modality, exam, and facility resource.
Enter and validate insurance information, including adding, updating, and
applying coverage correctly.
Assign referring physicians and capture all relevant notes and instructions.
Enter diagnosis codes, comments, and technologist notes as required.
Review orders prior to submission to ensure completeness and accuracy.
Document Management:
Split multi-page or multi-patient documents to ensure accurate order
processing.
Attach documents to the appropriate patient or exam based on content and
document type.
Add clear and concise comments for tracking, visibility, and productivity credit.
Route documents appropriately when additional action is required by other
teams.
Quality & Compliance:
Maintain a minimum QA score of 98% or higher (or per current quality
benchmark).
Ensure all entries meet quality standards and minimize errors or rework.
Follow HIPAA guidelines and maintain patient confidentiality at all times.
Adhere to company policies, client requirements, and regulatory
standards.
Collaboration & Communication:
Maintain effective communication with leadership and coworkers.
Participate in team huddles, trainings, and process updates.
Provide support during high-volume periods and contribute to team
productivity goals.
Seek clarification when process gaps or questions arise.
Qualifications:
Prior experience in healthcare, order entry, or data entry preferred.
Experience with EIS, RIS, or similar systems is a plus.
Strong attention to detail and accuracy.
Ability to work in a high-volume, fast-paced environment.
Strong organizational, communication and multi tasking skills.
Demonstrated adaptability and ability to adjust to changing processes,
priorities, and system updates
