Role Description

This is a full-time on-site role for a Operations Support Manager located in Coimbatore. The Strategic Executive Secretary will be responsible for managing various administrative tasks, including supporting executives, coordinating meetings, maintaining schedules, and ensuring seamless communication across departments. Additional duties include preparing reports, handling correspondence, assisting with company secretarial work, and providing excellent customer service to internal and external stakeholders.

Role : Operations Support Manager

Experience : 7+ Years (Handling Board level Operations/ Any Secretarial Operations and Department Operations Can Apply)

Location : Coimbatore (Candidates from in and around Coimbatore are Preferred)

Key Responsibilities

  • Schedule and calendar management: Handle complex calendars, including scheduling meetings,

appointments, and travel arrangements.

  • Communication and gatekeeping: Act as a primary point of contact, manage incoming and outgoing correspondence (emails, letters, phone calls), and filter access to the executive.
  • Project and meeting coordination: Prepare agendas, take minutes, and support executives in preparing for meetings and strategic initiatives.
  • Information and document management: Organize and maintain confidential documents and records, ensuring information is secure and easily accessible.
  • Strategic support: Assist with research, prepare reports and presentations, and take on special projects to support the executive's strategic goals.
  • Liaison and relationship building: Serve as a key liaison between the executive and internal and external stakeholders, including clients and other departments.

Qualifications

  • Proficiency in Clerical Skills such as managing schedules, maintaining records, and organizing documents
  • Strong Communication skills for effective correspondence and collaboration with executives, team members, and stakeholders
  • Experience in Company Secretarial Work, including preparing reports and maintaining confidentiality
  • Expertise in Executive Administrative Assistance and organizational support tasks
  • Customer Service skills to effectively address inquiries and provide assistance as required
  • Excellent time management and problem-solving skills
  • Proficiency in office software and tools for document management and scheduling
  • Previous experience in a similar role is advantageous
  • Bachelor's degree in Business Administration, Communications, or a related field is preferred
