Operations Specialist

Role Description

As an Operations Specialist, you would coordinate daily operational activities, ensure smooth process execution across departments, and support the timely delivery of products and services. Key tasks include monitoring workflow, tracking orders and inventory, preparing operational reports, and identifying process improvements to enhance efficiency. The Operations Specialist partners closely with sales and project teams to align operations with business priorities, resolve issues, and maintain high service standards. The role also involves maintaining documentation, enforcing operational policies, and supporting cross-functional initiatives to improve customer and partner experiences.

Roles and Responsibilities

• Manage day-to-day warehouse operations, ensuring smooth and timely movement of inventory.
• Operate and manage EasyEcom / Unicommerce (WMS + OMS) and Shopify for inventory and order management.
• Maintain high levels of inventory accuracy across the warehouse and retail outlets.
• Conduct regular stock audits, cycle counts, and inventory reconciliations.
• Identify inventory discrepancies and work with relevant teams to resolve them quickly.
• Supervise and coordinate a team of pickers and packers, ensuring productivity and accuracy.
• Monitor picking, packing, dispatch, and inward processes to minimise errors and delays.
• Coordinate with retail outlets on stock transfers, inventory requirements, and stock-related queries.
• Maintain and analyse operational data using Excel and Google Sheets.
• Prepare regular inventory and operations reports and track key operational metrics.
• Identify bottlenecks in warehouse processes and implement practical solutions to improve efficiency.
• Ensure warehouse processes and SOPs are followed consistently.
• Work closely with internal teams to ensure orders, transfers, and inventory movements are executed accurately and on time.
• Continuously look for ways to make the warehouse faster, more organised, and more accurate.

What We're Looking For

• 1–3 years of experience in warehouse, inventory, fulfilment, or operations.
• Hands-on experience with EasyEcom and/or Unicommerce is strongly preferred.
• Good working knowledge of Shopify.
• Strong command of Excel / Google Sheets, including working with large data sets, reconciliations, and reports.
• Practical experience with stock audits, cycle counts, and inventory management.
• Experience managing or coordinating a team of warehouse staff, especially pickers and packers.
• Strong coordination and communication skills, particularly when working with multiple retail outlets or teams.
• Fashion, apparel, retail, or e-commerce warehouse experience is a plus.
