About Buddy Bites

Buddy Bites is a fast-growing direct-to-consumer premium pet food brand operating across Hong Kong and Singapore. We make high-quality, nutritionally balanced food for dogs and cats, sold primarily through a subscription model. Singapore is a key and growing market for us — we have a dedicated team and office here, led by our General Manager Laura Pang, and we are investing significantly in the Singapore operation.

About this role

This is a newly created role designed to build out the operational backbone of Buddy Bites. Based in Singapore and embedded in our local team, you will work alongside Laura Pang (GM Singapore) and operate as the operational counterpart to our Hong Kong operations function. You will own the systems, processes, and cross-functional work that keeps the Singapore business running smoothly while ensuring tight alignment with HK on group-wide standards. This is a broad, high-impact role for someone who thrives building from scratch and wants to grow with a brand at an exciting stage of its development.

What you will own

Process design & systems management

• Design, document, and continuously improve the SOPs governing Singapore operations — from order processing and customer escalation to team onboarding

• Own the Singapore instance of the operational tooling stack: Shopify, any OMS/ERP, internal dashboards, and project management tools

• Identify and eliminate operational inefficiencies; build scalable processes ahead of growth, not in reaction to it

• Ensure Singapore processes are aligned with and consistent with group-wide standards set in HK

Customer operations oversight

• Set and monitor service level standards for the Singapore customer success function

• Identify systemic issues emerging from Singapore customer feedback and escalations; resolve root causes in collaboration with the wider operations team

• Own the operational side of Singapore subscription management: renewal flows, pause/cancellation logic, and customer communications

• Build the reporting that gives Laura and the Co-Founders visibility into Singapore customer operations performance

Financial & vendor operations

• Own day-to-day financial operations for Singapore: invoicing, supplier payments, and AP/AR hygiene

• Maintain a rolling Singapore budget tracker with clear visibility into operational expenditure

• Support management of operational vendor and service provider contracts in Singapore

• Work with the company's Singapore accountants and the HK finance function to ensure operational data is accurate and compliant with Singapore requirements

• Ensure CPF and statutory obligations are correctly reflected in operational processes and payroll coordination

Data & reporting

• Build and maintain Singapore operational dashboards covering subscriber metrics, fulfilment performance, cost per order, and churn

• Translate raw Shopify and warehouse data into clear, actionable insights for Singapore leadership

• Contribute Singapore data to the group-wide monthly operational reporting pack

Strategic & cross-functional projects

• Lead operational readiness in Singapore for new product launches, packaging changes, and channel expansions

• Act as the Singapore operational interface with the HK team, ensuring consistency across both markets and surfacing Singapore-specific requirements

• Work closely with Kayla Chong (Supply Chain & Inventory Manager, HK) on Singapore inventory planning, warehouse performance, and 3PL management

• Take on ad hoc strategic projects as directed by Laura Pang and the Co-Founders

What we are looking for

• 5+ years of operations experience in a high-growth DTC, e-commerce, or consumer brand environment

• Track record of building operational processes and systems from scratch

• Strong commercial acumen: you understand how operational decisions affect revenue, margin, and customer experience

• Comfortable with data: dashboards, Shopify reports, and clear quantitative recommendations

• Proficient with AI tools such as Claude or ChatGPT — able to use them to automate reporting, draft SOPs, and analyse data faster

• Excellent project management skills across multiple simultaneous workstreams

• Familiarity with Singapore employment law and statutory requirements (CPF, MOM regulations) is a meaningful advantage

• Experience working across Singapore and Hong Kong, or in a multi-market brand environment, preferred

• Fluency in English required; Cantonese and/or Mandarin a bonus given the regional context

• Must hold valid right to work in Singapore — Employment Pass holders welcome
