Job Description

Role Overview

The Operations Manager will be responsible for end-to-end order execution, supplier coordination, shipment tracking, customer communication, and operational support across the business. The role requires strong coordination skills, attention to detail, and the ability to manage multiple stakeholders including suppliers, customers, sales teams, logistics partners, accounts, and internal management.

The objective of the role is to ensure smooth operational flow from purchase order placement to final delivery and customer satisfaction.

Key ResponsibilitiesOrder Management
  • Process and manage customer orders accurately and efficiently.
  • Place purchase orders with international and domestic suppliers.
  • Track order confirmations, manufacturing timelines, and dispatch schedules.
  • Ensure timely execution of all open orders.
Supplier Coordination
  • Coordinate regularly with principals/suppliers regarding order status, pricing, lead times, and shipment schedules.
  • Follow up proactively on pending deliveries and backorders.
  • Maintain proper documentation related to procurement and supplier communication.
Shipment & Logistics Coordination
  • Coordinate imports, exports, and domestic shipments with logistics partners and freight forwarders.
  • Track shipments and ensure timely customs clearance and delivery.
  • Work closely with CHA, courier agencies, and transport vendors.
  • Resolve shipment delays or operational bottlenecks proactively.
Customer Coordination
  • Provide customers with shipment updates, expected delivery timelines, and order status.
  • Coordinate documentation required by customers including invoices, packing lists, certificates, and dispatch details.
  • Ensure smooth communication and professional customer handling throughout the order lifecycle.
Internal Coordination
  • Work closely with sales, service, accounts, and management teams for seamless order execution.
  • Coordinate invoicing, payment follow-ups, and dispatch approvals with accounts team.
  • Support sales teams in operational execution and customer commitments.
Documentation & Reporting
  • Maintain accurate records of orders, shipments, pending deliveries, and operational trackers.
  • Prepare regular MIS reports related to order status, dispatches, and operational performance.
  • Ensure compliance with internal processes and documentation standards.
Desired Skills & Qualifications
  • Strong organizational and coordination abilities.
  • Good communication and follow-up skills.
  • Ability to manage multiple tasks simultaneously.
  • Proficiency in Microsoft Excel and ERP/order management systems.
  • Understanding of import/export and logistics processes preferred.
  • Prior experience in scientific, healthcare, biotech, or distribution industry preferred.
Experience
  • 4–8 years of relevant experience in operations, order management, logistics coordination, or commercial operations.
