Position Summary
The Operations Manager is responsible for overseeing the day-to-day administrative and operational activities of the university to ensure smooth, efficient, and compliant functioning of campus operations. The role involves managing facilities, vendor relationships, support services, budgets, process improvements, and cross-functional coordination among academic and administrative departments.
Key Responsibilities
Operational Management
- Manage daily university operations and administrative functions.
- Develop and implement operational policies, procedures, and best practices.
- Ensure efficient utilization of university resources and infrastructure.
- Monitor service quality and operational performance across departments.
Vendor & Contract Management
- Identify, evaluate, and manage external vendors and service providers.
- Negotiate contracts, service-level agreements (SLAs), and pricing.
- Monitor vendor performance and ensure compliance with contractual obligations.
Budgeting & Cost Control
- Prepare operational budgets and monitor expenditures.
- Identify opportunities for cost optimization and efficiency improvements.
- Ensure proper utilization of resources while maintaining service standards.
Compliance & Risk Management
- Ensure compliance with university policies and applicable regulations.
- Coordinate audits and maintain required documentation.
- Support implementation of health, safety, and environmental standards.
- Identify operational risks and develop mitigation plans.
Student & Faculty Support Services
- Coordinate operational support for students, faculty, and staff. .
- Resolve operational issues and service-related concerns in a timely manner.
Process Improvement
- Analyze operational workflows and recommend improvements.
- Implement automation and digital solutions to enhance efficiency.
- Establish KPIs and prepare operational performance reports.
Team Leadership
- Lead and supervise administrative and operational staff.
- Conduct performance reviews and provide coaching and development.
- Foster a culture of accountability, service excellence, and continuous improvement.
Required Qualifications
- Master's degree in Business Administration (MBA), Operations Management. (Preferred)
- Bachelor's degree from a recognized institution.
- Additional certifications in operations, facility management, or project management are desirable.
Experience
- 5–10 years of experience in operations, administration, facilities management, or institutional management.
- Experience in higher education, universities, colleges, or large educational institutions preferred.
- Proven experience in managing cross-functional teams and vendor relationships.
