Role Summary
We are looking for a proactive and detail-oriented Operations Executive - Transportation Command Centre to oversee day-to-day transportation operations from our Bangalore Command Centre. The role will be responsible for real-time fleet monitoring, fuel management, driver coordination, route planning, and operational compliance to ensure uninterrupted transportation services across the network.
The ideal candidate should have strong analytical skills, operational acumen, and experience managing transportation activities in a fast-paced 24x7 environment. Advanced proficiency in Microsoft Excel and reporting tools is essential.
Key Responsibilities
1. Fuel Management (Core Responsibility)
- Monitor and manage vehicle refueling activities to ensure seamless operations and zero downtime.
- Track fuel consumption, mileage, and efficiency metrics across the fleet.
- Analyze fuel usage trends and identify discrepancies, leakages, or inefficiencies.
- Coordinate with fuel vendors and fuel station partners for smooth fuel availability.
- Manage fuel cards, fuel advances, and reconciliation of fuel expenses.
- Generate daily, weekly, and monthly fuel utilization reports and dashboards.
2. Transportation Operations & Fleet Monitoring
- Monitor fleet movement through GPS and transportation management systems.
- Ensure timely vehicle dispatch, transit monitoring, and trip completion.
- Track vehicle utilization and proactively address operational bottlenecks.
- Coordinate with drivers, transport partners, warehouses, and customers for smooth execution.
- Respond to operational exceptions, route deviations, and vehicle breakdown situations.
3. Driver Management
- Manage driver deployment, trip allocation, and shift planning.
- Monitor driver attendance, availability, and trip performance.
- Ensure drivers adhere to company safety policies and regulatory requirements.
- Support driver onboarding, training, and operational briefings.
- Act as the primary point of contact for driver-related operational issues and escalations.
4. Route Planning & Optimization
- Develop efficient transportation routes to maximize fleet utilization and reduce operating costs.
- Monitor route adherence through GPS tracking systems.
- Optimize routes considering traffic conditions, delivery priorities, and turnaround time.
- Recommend continuous improvements in route planning to improve service levels and fuel efficiency.
5. Financial Administration & Wayside Management
- Monitor and control wayside expenses including tolls, parking, fuel advances, and driver allowances.
- Verify trip settlements and operational expense claims.
- Maintain accurate records and supporting documents for audits and reconciliations.
- Support payroll inputs related to driver attendance, incentives, and operational allowances.
6. Compliance & Documentation
- Prepare and maintain Truck Movement Charts (TMC) and operational reports.
- Ensure vehicle documentation, insurance, permits, and fitness certificates are valid and updated.
- Maintain transportation MIS, dashboards, and operational records.
- Support management with periodic reports on fleet performance, fuel consumption, and compliance metrics.
7. Stakeholder Coordination
- Coordinate with internal teams including Operations, Warehouse, Customer Service, and Finance.
- Liaise with transport vendors, fuel partners, and external service providers.
- Ensure timely communication of operational updates and issue resolution.
- Support achievement of customer service levels and transportation KPIs.
Technical Requirements
- Advanced Microsoft Excel skills (Pivot Tables, VLOOKUP/XLOOKUP, Dashboards, Data Analysis).
- Strong analytical and reporting capabilities.
- Familiarity with GPS tracking systems and Transportation Management Systems (TMS).
- Good coordination and communication skills.
- Ability to work effectively in a 24x7 shift-based environment.
Preferred Qualifications
- Graduate in any discipline.
- 2-4 years of experience in transportation operations, fleet management, logistics, or command center operations.
- Experience in fuel management and driver coordination is highly preferred.
- Exposure to cold chain logistics or reefer transportation operations will be an added advantage.
Good to Have
- Prior experience in fleet operations, transportation control towers, or logistics command centers.
- Understanding of vehicle maintenance schedules and fleet compliance requirements.
- Knowledge of transportation cost management and fuel efficiency analysis.
- Proven ability to manage driver teams and transportation vendors effectively.
