Job Description

Location: Jamshedpur

Reports to: Founder / Director

Level: Mid-level (2-4 years experience preferred)

Role Summary

You are the operational heartbeat of The Other Way. This role owns the end-to-end execution of our intimate, high-touch journeys- from research and booking to flawless delivery and financial closure. You ensure every traveler feels curated care while suppliers feel valued partnership. Precision, empathy, and calm under pressure define success.

Key Responsibilities
1. Bookings & Logistics
  • Manage group bookings (6-12 pax): accommodations, transport, activities, meals
  • Manage FIT's
  • Coordinate with domestic/international suppliers (hotels, DMCs, airlines via consolidators)
  • Handle visas, permits, special requests (dietary, accessibility)
  • Create traveler kits: digital itineraries, emergency contacts, cultural notes
  • On-ground coordination: daily check-ins with guides, real-time issue resolution

2. Finance & Compliance
  • Raise GST-compliant invoices (B2C/B2B, domestic/international)
  • Track payments, follow-ups, reconciliations
  • Manage supplier payments, cash flow
  • Maintain records: contracts, POs, receipts for audits
  • GST filing support, expense categorization

3. Client Operations
  • Pre-trip: confirmation calls, payment collection, document verification, travel insurance nudges
  • During trip: 24/7 WhatsApp availability, live tracking, supplier escalation
  • Post-trip: feedback collection, testimonials, loyalty nurturing
  • Handle changes, cancellations per policytransparent communication always

4. Process & Systems
  • Document SOPs for scalability
  • Maintain CRM (Google Sheets/Zoho initially): clients, suppliers, journeys
  • Weekly founder sync: pipeline, risks, wins

Must-Have Skills
  • Travel industry knowledge: Familiarity with India tourism, homestays, group dynamics
  • Tools: Google Workspace, WhatsApp Business, basic CRM, Excel (pivot tables), payment gateways (Razorpay/UPI)
  • Financial: GST invoicing, basic bookkeeping, bank reconciliations
  • Communication: Clear emails, WhatsApp voice notes, supplier negotiation
  • Mindset: Detail-obsessed yet big-picture, calm crisis manager, values-driven

Nice-to-Have
  • Experience with IATA consolidators, visa processes
  • Languages: Hindi + English
  • Basic design: Canva for traveler kits
