Position Overview
We are seeking a detail-oriented, proactive, and execution-focused professional for the role of Operations Executive / Senior Operations Executive to manage end-to-end trade operations, documentation, and supply chain coordination.
The role requires strong expertise in import/export documentation, Incoterms, shipment execution, and regulatory compliance. This is a pure operations role with a strong focus on operational execution, compliance management, and supply chain coordination.
The position is based in Gurgaon; however, the candidate should be open to relocation within India or Dubai in the next 2–3 years based on business requirements.
Key Responsibilities
- Handle complete import and export documentation processes.
- Prepare, verify, and manage shipping documents including Commercial Invoice, Packing List, Bill of Lading (BL), Air Waybill (AWB), Certificate of Origin, and other trade-related documents.
- Ensure compliance with the latest Incoterms and contractual obligations.
- Execute end-to-end shipments as per contractual timelines and requirements.
- Coordinate with suppliers, freight forwarders, customs house agents (CHA), shipping lines, inspection agencies, warehouses, and transporters.
- Track shipment status and ensure timely execution in line with contract schedules.
- Ensure documentation accuracy as per sales contracts and importing country requirements.
- Monitor vessel schedules and proactively manage shipment timelines.
- Handle compliance with Indian EXIM regulations, customs requirements, DGFT regulations, and applicable export-import policies.
- Manage domestic operations including inland logistics, local transportation, warehouse coordination, and supply chain execution within India.
- Liaise with internal stakeholders including Trading, Finance, and Logistics teams for smooth operational flow.
- Resolve operational discrepancies and proactively escalate delays or issues.
- Maintain accurate operational records and documentation for audit and compliance purposes.
Required Skills & Competencies
- Strong knowledge of import/export documentation and trade operations.
- Good understanding of Incoterms and international trade practices.
- Knowledge of Indian EXIM regulations, customs procedures, and local compliance requirements.
- Exposure to domestic and international supply chain operations.
- Strong coordination, communication, and follow-up skills.
- High attention to detail and documentation accuracy.
- Ability to work under pressure and manage multiple shipments simultaneously.
- Proficiency in MS Office applications, especially Excel, Word, and Outlook.
Preferred Qualifications
- Experience in Coffee and/or Cocoa trade operations will be preferred.
- Prior experience in the agri-commodity trading industry is an advantage.
- Graduation in Commerce, Supply Chain, Logistics, or a related field.
- Experience working in fast-paced international trading environments will be an added advantage.
