Role OverviewAs an Operations and client management Associate, you will work closely with the founder to manage daily operations, client coordination, and business execution.
This role is focused on ensuring smooth operations, converting leads, and supporting the founder during shoots and business activities.
This is a hands-on, execution-driven role, not a social media or purely creative role.
Key Responsibilities1. Sales & Client Management- Respond to inquiries via Instagram, WhatsApp, and calls
- Convert leads into confirmed bookings
- Follow up with potential clients consistently
- Maintain records of bookings, payments, and client communication
- Promote services, packages, and offers
2. Client Coordination & Calendar Management- Manage bookings, schedules, and appointments
- Maintain a master calendar for all shoots, events, and meetings
- Send reminders and ensure smooth coordination
- Handle client queries professionally and promptly
3. Operations & Shoot Coordination- Coordinate with vendors, photographers, and team members
- Assist during shoots, weddings, and events
- Travel with the founder for assignments and events
- Handle on-ground execution and problem-solving
- Support with setup, logistics, and coordination
4. Lead Management & Conversion- Track all incoming leads and their status
- Ensure timely responses and follow-ups
- Work towards converting inquiries into bookings
- Maintain lead tracking systems and updates
5. Basic Financial Tracking- Track daily payments, advances, and balances
- Maintain records of expenses and revenue
- Update basic financial data in spreadsheets
- Coordinate with the accountant when required
6. Administrative & Business Support- Maintain trackers, checklists, and reports
- Support in planning offers, campaigns, and growth activities
- Ensure all ongoing tasks are organized and updated
7. Personal Assistance to Founder- Manage daily schedule and reminders
- Assist with travel planning and coordination
- Handle priority tasks and ensure smooth workflow
- Support the founder in day-to-day execution
Requirements- Strong communication and client handling skills
- Ability to manage multiple tasks and deadlines
- Highly organized and detail-oriented
- Comfortable with lead conversion and follow-ups
- Basic knowledge of Excel or Google Sheets
- Willingness to travel and work flexible hours
- Ability to work independently and take ownership
- Ability to capture high-quality photos and videos (mobile or camera) during shoots and events
- Understanding of lighting, angles, framing, and composition
- Basic editing skills for photos and short videos (Reels / Shorts)
- Ability to document work in a clean, aesthetically consistent manner
Preferred- Experience in beauty, fashion, or wedding industry
- Experience in client handling or operations
Important- This role requires on-ground involvement, travel, and execution
- Candidates must be comfortable handling clients and responsibilities independently
