About The Role

We are hiring an Operations Associate to work across three areas: managing our proprietary Flight Plan infrastructure for e-commerce clients, designing and maintaining internal automations across our stack, and helping evaluate and deploy AI and emerging technology.

This is a high-ownership role for someone who thrives at the intersection of operational rigor, technical fluency, and client partnership. You will report to the VP of Finance and partner closely with operations, client service teams, and leadership.

This is a fully remote role supporting a team in the EST time zone (9 AM–5 PM EST). Hub locations include Brazil and Spain.

What You'll Do

Flight Plan Infrastructure

The Flight Plan is Darkroom's proprietary financial and operational infrastructure built specifically for e-commerce brands. It includes dashboard systems and P&L frameworks designed to give clients real-time visibility into their business performance. You will:

  • Own the full lifecycle of the Flight Plan from client onboarding through full operational deployment.
  • Ensure each client's Flight Plan is properly set up, maintained, and generating actionable insights.
  • Monitor the health and accuracy of each client's operational and financial dashboards — including P&Ls, revenue tracking, and margin reporting.
  • Proactively identify gaps or inefficiencies in a client's infrastructure and drive resolution.
  • Ensure clients are actively using and benefiting from the insights derived from their Flight Plan.

Automations & Integrations

You design and deploy workflows across our internal stack (Zapier, Slack, Google Workspace, Fireflies, Notion, and more). You will:

  • Build and maintain automations that connect platforms and remove manual work.
  • Audit existing automations, catch weak points early, and keep everything running reliably.
  • Document workflows and integrations so the team can rely on them without you in the room.
  • Partner with cross-functional teams to surface pain points and design fit-for-purpose solutions.

AI & Emerging Technology

You stay current on AI tools and operational technology trends. You will:

  • Experiment with LLMs and emerging tools and translate capability into operational value.
  • Help build AI-enhanced workflows that make the team faster and sharper.
  • Support leadership in evaluating new platforms and surface clear, well-scoped recommendations.
  • Document systems and adoption guidelines to support rollout across the team.

What We're Looking For

Must-Have

  • Proficient in SQL (BigQuery preferred) — comfortable with joins, nested schemas such as Shopify and Amazon Seller Central data, and aggregation logic.
  • Comfortable working with Python for automation and APIs, including data extraction, Cloud Functions, scheduled jobs, and ETL workflows.
  • Hands-on experience designing and deploying no-code or low-code automations (Zapier, Make, n8n, or similar) and working knowledge of API integrations across SaaS platforms.
  • Working knowledge of data warehousing and cloud infrastructure (GCP preferred), including BigQuery architecture and pipeline automation.
  • Fluent in English and comfortable in client-facing roles, including direct conversations with US-based e-commerce founders and operators.
  • Proficient in Excel and Google Sheets.
  • Organized, detail-oriented, and relentless about accuracy.
  • Preference for ownership over supervision and execution over theory.
  • Able to manage a complete financial and operational infrastructure — including dashboards and P&Ls — and ensure systems are clean, accurate, and actionable.

Nice-to-Have

  • Experience specifically with Shopify and Amazon Seller Central data schemas.
  • Familiarity with Darkroom's internal stack: Slack, Notion, Fireflies, Google Workspace.
  • Experience applying LLMs and AI tools to operational workflows to improve speed and output quality.
  • Prior experience at an agency or with DTC / e-commerce brands.
  • Background working with P&Ls and financial dashboards in a client-facing context.
