Operations Analyst

Eterna Insurance Solutions is a licensed life insurance and retirement partner operating in all 50 states, headquartered in Irvine, California. We support a large network of independent agents across multiple carriers.

The role

We are looking for an Operations Analyst to work directly with our Director of Operations. You will be the day-to-day point of contact for many of our agents, and you will help us find and fix the places where our workflows slow down or break.

This is not a data-entry or inbox-only position. You will talk to agents, figure out why things go wrong, and build the systems that keep them from going wrong again.

What you will do

- Communicate with US-based independent agents by email, chat, and phone, resolving operational questions and escalating what needs escalation

- Map existing workflows end to end, identify bottlenecks and failure points, and recommend practical fixes

- Set up and maintain our CRM, including pipelines, fields, automations, and data hygiene

- Write and maintain process documentation so work is repeatable and handoffs are clean

- Track open items across agents and internal teams and make sure nothing sits unanswered

- Support the Director of Operations on recurring reporting and special projects

What we are looking for

- 3 to 5 years in an operations, customer operations, or business analyst role

- Clear, professional English, written and spoken, to a US business standard. You will speak directly with US-based agents

- Hands-on experience configuring and administering a CRM (HubSpot, Salesforce, GoHighLevel, Zoho, or similar), not just using one

- The ability to look at a messy process, explain plainly what is wrong with it, and propose something better

- Strong organization and follow-through. You close loops without being reminded

- Solid Excel or Google Sheets skills

- Availability 12:00 pm to 9:00 pm US Eastern Time, Monday through Friday

Nice to have

Experience in insurance, an IMO, or another agent-based sales organization is welcome but not required. Familiarity with automation tools such as Zapier or Make is a plus. We consider tools and industry knowledge teachable. Judgment and communication are not.
