Operation Executive

Job Title: Operations Executive – Cold Chain

Department: Operations

Location: As per requirement

Reporting To: Operations Head

Job Purpose

To ensure smooth end-to-end cold chain operations by coordinating vehicle movement, maintaining temperature compliance, managing documentation, and ensuring timely and safe delivery of temperature-sensitive goods.

Key Responsibilities

1. Cold Chain Operations

• Monitor and ensure temperature compliance during storage and transportation.
• Coordinate reefer vehicle placement, loading, unloading, and dispatch.
• Ensure proper pre-cooling and temperature setting as per product requirements.
• Track shipments and ensure on-time delivery.

2. Vehicle & Vendor Coordination

• Coordinate with drivers, transporters, and vendors for vehicle availability.
• Ensure vehicles are in good condition and reefer units are functioning properly.
• Handle breakdowns, temperature deviations, and operational escalations.

3. Documentation & Reporting

• Maintain trip sheets, temperature logs, PODs, and vehicle records.
• Update daily MIS, vehicle utilization, and operational reports.
• Ensure compliance with company SOPs and cold chain standards.

4. Customer Coordination

• Communicate with customers regarding pickup, delivery, and shipment status.
• Address operational queries and resolve delivery-related issues promptly.
• Ensure customer satisfaction through smooth coordination and service quality.

5. Compliance & Quality Control

• Follow food safety, pharmaceutical, and cold chain compliance guidelines.
• Ensure adherence to SOPs, safety standards, and regulatory requirements.
• Report and document temperature deviations and corrective actions.

Key Skills & Competencies

• Knowledge of cold chain logistics and reefer operations
• Strong coordination and communication skills
• Basic understanding of temperature-controlled transportation
• MIS and reporting skills (Excel, Google Sheets preferred)
• Problem-solving and multitasking ability

Educational Qualification

• Graduate / Diploma in Logistics, Supply Chain, or Operations (preferred)

Experience

• 1–3 years of experience in cold chain logistics, transportation, or operations
• Experience in reefer transportation is an added advantage
