Onboarding Specialist (JAPAC/EMEA - STAFF AUGMENTATION) - Palo Alto Networks [Contractor]

Role Description:

This role is a contract assignment at Palo Alto Networks. Contractors will not be employed by Palo Alto Networks but through our trusted staffing partners.

Palo Alto Networks is looking for an Onboarding Specialist (JAPAC/EMEA) to support our EMEA/JAPAC business in our global contingent workforce program team.It is a great opportunity for a talented individual who has the desire to associate with a fast-growing company in a truly international environment.

As an Onboarding Specialist, you will play a critical role in demonstrating company culture and mitigating risk, ensuring a seamless entry for our external talent. This position focuses on managing rogue staff augmentation onboarding across the EMEA and JAPAC regions. You will act as the central point of coordination between suppliers, internal stakeholders, and candidates, ensuring every contractor onboarding meets compliance standards before day one. Beyond execution, you will be a process innovator, leveraging data and AI tools to bridge operational gaps and streamline the regional onboarding experience, ultimately creating a positive first impression.

  • Duration - 12 months
  • Schedule- 9 AM to 6 PM IST

Your Impact

  • Compliance & BGC Coordination: Manage background verification via portals like HireRight, ensuring all region-specific documentation is collected and verified for successful completion.
  • MSP & VMS Operations: Utilize Vendor Management Systems such as Beeline or Magnit to track contractor status and maintain data integrity.
  • Regional Support (JAPAC): Partially handle specific contractor requirements and local compliance nuances unique to the JAPAC market.
  • Supplier Partnership: Act as the primary lead for supplier coordination, providing clear guidance on onboarding protocols and resolving bottlenecks.
  • Ticketing & Workflow: Manage high-volume inquiries and task tracking through ServiceNow, ensuring timely responses and accurate documentation.
  • Process Optimization: Proactively identify rogue spend or onboarding gaps and help design/upgrade processes to bring them into program compliance.

Experience Required

  • 4+ years of managing the end-to-end contractor lifecycle, with 2+ years specifically in background check screenings and process improvement (onboarding).
  • 2+ years in Contract Administration, including managing SOWs and engagement letters.
  • Technical proficiency with MSP/VMS platforms (ideally Magnit) and ticketing systems (ideally ServiceNow).
  • Strong personal attributes: Meticulous attention to detail, highly organized, flexible, adaptable to a fast-paced environment, and able to handle a high volume of work.
  • Communication skills and experience collaborating effectively across global teams and time zones.
  • Ability to recommend technical or operational solutions for process improvement related to the candidate lifecycle.

Preferred Technical Skills (A Plus)

  • Proficiency with G-Suite (Docs, Sheets, Slides, etc.).
  • Familiarity with data visualization tools such as Tableau.
  • Exposure to AI/ML tools (e.g., Gemini, NotebookLM) and concepts, with a demonstrated interest in leveraging technology to optimize staff augmentation processes and address operational gaps. Nice to have - big query and usage of AI tools to boost productivity (i.e. Gemini, Glean, NotebookLM, etc)

Education

Bachelor's degree or equivalent experience.
