The Onboarding Specialist acts as the high-velocity execution engine for our sales pipeline. We want to accelerate deal closures - from agreeing to onboard to discovering value with Atoa. We are looking for someone to bridge the gap between a signed contract and revenue generation.
In this hands-on role, you will eliminate deal friction for both new client acquisitions and existing merchants being brought onto our product suite. Working within a regulated payments environment, you will sit at the crossroads of Sales, Compliance, and Finance - directly owning the post-sign deal lifecycle, tearing down procedural inefficiencies & bottlenecks, and ensuring clients breeze through the KYC/KYB journey efficiently so they can start transacting.
Key Responsibilities- Pipeline Acceleration & Deal Execution: Actively audit the pipeline to push active, signed deals over the finish line. Own the end-to-end contract and onboarding process, ensuring clients clear compliance, complete paperwork, and onboard without delay. Maintain strict CRM governance (Pipedrive) to ensure visibility on where deals are stuck.
- Active Client Unblocking: Engage directly with clients when a deal stalls in the pipeline. Whether they are blocked by a complex integration, missing paperwork, or sluggish training, you will step in to liaise between the client, our sales engineers, and account teams to get it moving.
- Compliance & KYC/KYB Coordination: Act as the primary champion for the client KYC collection process. Run upfront quality control on submitted corporate documents to prevent back-and-forth delays with compliance, and enforce internal SLAs to keep turnaround times lightning-fast.
- Onboarding Process Optimization: Analyze where deals get stuck most frequently in the post-sales funnel. Identify friction points in our onboarding, training, and KYC loops, and proactively build smoother, faster workflows.
Profile Requirements- Communication: Exceptional verbal and written communication skills—you can politely but firmly hustle clients for missing documents.
- Experience: 2–4 years in the UK/EU market in Sales, Sales Ops or Client Onboarding within a regulated fintech, payments or banking space. You must understand the realities of KYB/KYC.
- The Urgency Mindset: You are deeply bothered by lag. You have a natural drive to nudge, follow up, and push both internal teams and clients to get things done.
- Technical Stack: Can understand API integrations, REST APIs, deep practical familiarity with Pipedrive workflow automation (or equivalent CRM).
KPIs (How Success is Measured)- Deal Velocity (Primary Metric): How quickly deals move from Signed to Transacting. Success means drastically reducing the average number of days a merchant sits in limbo.
- Onboarding CSAT: How happy, supported, and well-trained customers feel during the onboarding process, despite the heavy paperwork.
- Process Improvement: Month-on-month streamlining of the onboarding pipeline to measurably cut down friction and manual touchpoints.
