1. Fund and Client Support
Acting as the main operational support for the RM on client, fund, bank, broker, custodian and administrative matters.
Coordinating with clients, fund administrators, custodians, banks, brokers, auditors, corporate secretaries, tax agents and other service providers.
Supporting client and investor onboarding, including collection, review and submission of KYC documents and supporting information.
Assisting clients with the preparation of payment instructions to banks, including providing relevant payment details, checking operational information for completeness, and coordinating follow-up with banks, custodians, administrators or clients where required.
Assisting with investor subscription, redemption, transfer, distribution, cash proceeds and contract note follow-up matters.
Supporting client queries and operational coordination where investors require information on distributions, redemption proceeds, cash movements, payment status or related documentation.
Preparing and coordinating monthly investor updates, including performance tables, charts, manager commentary, fund data, risk warning sections and distribution to investors / relevant counterparties.
Maintaining and updating performance spreadsheets used for monthly investor updates and market comparison charts.
Coordinating with the RM on monthly fund commentary, performance attribution, asset allocation, geographic exposure and manager updates.
Reviewing and following up on fund administrator deliverables, including NAV packs, investor registers and fund reporting matters.
Preparing and coordinating board resolutions, written resolutions, meeting minutes and related fund documentation.
Preparing and following up on invoices relating to fund management fees, service providers, administration, audit, corporate secretarial, professional fees and other fund / company-related expenses.
Coordinating invoice review, approval, payment follow-up, record keeping and circulation to relevant parties where required.
Following up on audit matters, financial statements, filing requirements and administrator queries.
Maintaining records of key fund matters, investor communications, operational instructions and outstanding follow-up items.
Placing trade instructions with banks, brokers or custodians based on instructions received from the RM / investment manager, and following up on trade execution, settlement, confirmations and related operational matters.
2. Compliance / AML / KYC / Regulatory Support
Assisting with client and investor onboarding reviews, including KYC documentation, accredited investor checks, source of wealth / source of funds review and screening follow-up.
Coordinating with external compliance consultants and fund administrators on AML / KYC matters.
Maintaining compliance-related registers, trackers and records, including onboarding logs, outsourcing registers, periodic review trackers and other compliance documentation.
Assisting with preparation and follow-up for compliance meetings, compliance reports, internal reviews and audit / regulatory requests.
Assisting with MAS surveys and other regulatory / reporting-related matters, including coordination of information gathering, preparation of responses and follow-up with management or external compliance advisers where required.
Coordinating updates to policies, procedures, compliance manuals and internal control documents.
Supporting review of service-provider arrangements, outsourcing documentation and periodic due diligence requirements.
3. Reporting / Operations / Administration
Supporting onboarding of banks, brokers, custodians, relationship managers and external counterparties.
Preparing and coordinating account opening, account maintenance, authorised signatory updates, trading authority, LPOA, SFTP / data feed access and reporting access arrangements.
Acting as a point of contact between fund administrators and investors for new subscriptions into the company's sub-funds.
Assisting with investor onboarding into the fund administrator's onboarding process, including coordination of subscription documents, KYC information, supporting documents and follow-up queries.
Coordinating with investors, fund administrators and internal stakeholders to ensure subscription onboarding matters are followed up and completed.
Liaising with technology vendor and other reporting platforms or service providers on reporting access, SFTP setup, data feeds and consolidation matters.
Acting as a central point of coordination between management, clients, fund administrators, banks, brokers, custodians, auditors, compliance consultants and other service providers.
