Job Description

Hiring: Office Manager / Executive Assistant  

Location: Bangalore 

Experience: 3+ years 

 

We are looking for a highly organized, proactive, and discreet Office Manager / Executive Assistant to support leadership and ensure smooth day-to-day operations. 

This is a dual-role position combining executive support and office management, working closely with senior leadership in a fast-paced, global environment. 

 

Key Responsibilities 

Executive Support 

  • Manage complex calendars across multiple time zones for the CEO and CBO  
  • Coordinate meetings with global stakeholders across Europe, MENA, Asia, and the Americas  
  • Prepare presentations, reports, agendas, and briefing notes  
  • Draft and manage professional communication on behalf of leadership  
  • Coordinate domestic and international travel, including visas, itineraries, and expenses  
  • Track action items and follow-ups from leadership meetings  

Office Management 

  • Oversee day-to-day office operations including vendors, facilities, and supplies  
  • Act as the primary point of contact for internal teams and visitors  
  • Manage onboarding logistics for new employees (workspace, IT, documentation)  
  • Maintain company records, contracts, and documentation  
  • Support finance-related tasks such as invoice tracking and expense coordination  
  • Organize internal events, team offsites, and stakeholder visits  

 

Mandatory Skills and Requirements (Must-Have) 

  • 3+ years of experience as an Executive Assistant, Office Manager, or similar role  
  • Strong experience managing complex calendars across time zones  
  • Excellent communication skills in English (written and verbal)  
  • Proficiency in tools such as Google Workspace, Slack, Zoom, and Notion  
  • Strong organizational and multitasking abilities  
  • Proven ability to handle confidential information with discretion  
  • Experience working with global teams and across time zones  
  • Proactive mindset with the ability to anticipate needs and take initiative  

 

Good to Have 

  • French language skills  
  • Experience in a startup, consulting, or international business environment
