Office Coordinator

Position Overview

The Office Coordinator - Gurgaon is responsible for supporting day-to-day workplace operations at the Gurgaon office. Reporting to the Facilities Manager - APAC, this role ensures the office operates efficiently while complying with local regulatory requirements and aligning with global facilities standards.

This position serves as the primary local point of contact for employees, visitors, and service vendors.

Core Responsibilities

Workplace & Front Desk Operations

  • Manage front desk activities and visitor coordination.

  • Provide day-to-day workplace support for employees.

  • Ensure conference rooms and common areas are properly maintained.

  • Maintain professional office environment standards.

Vendor & Facilities Coordination

  • Coordinate with building management and local service providers.

  • Submit and track maintenance requests.

  • Monitor office supplies, utilities, and facility services.

  • Escalate operational concerns to the APAC Facilities Manager.

Regulatory & Compliance Support

  • Support compliance with local building codes and labor regulations.

  • Maintain documentation required for statutory inspections.

  • Coordinate with local authorities and building management as needed.

  • Support implementation of global safety standards at the local level.

Administrative & Financial Support

  • Assist with invoice tracking and vendor documentation.

  • Support procurement workflows for office-related expenses.

  • Maintain organized facilities records.

Qualifications

  • 3-6+ years of office operations or administrative experience.

  • Experience working in corporate or multinational environments preferred.

  • Strong organizational and stakeholder communication skills.

  • Familiarity with Indian workplace compliance standards preferred.
