Job Title: Office Coordinator - Front Desk
Location: Gurugram
Working Hours: 9:30 AM to 6:30 PM, Monday through Friday.
Flexibility required on event days
Front Desk & Visitor Management
- Greet and assist visitors, employees, and vendors promptly and courteously.
- Manage visitor logs, ID cards, and access protocols.
- Maintain an organized, and professional reception area
Call & Communication Handling
- Answer, screen, and route incoming calls to the appropriate departments.
- Handle general cab inquiries and provide accurate information.
- Manage office email and ensure timely communication.
Administrative Support
- Assist with scheduling meetings, preparing meeting rooms, and arranging refreshments.
- Plan, coordinate, and support internal events such as celebrations, engagement activities, town halls, and vendor-led sessions, ensuring seamless execution from setup to closure.
- Handle courier services incoming/outgoing mail, packages, and dispatch records.
- Maintain office supplies inventory and coordinate procurement.
- Support team with documentation, filing, and basic data entry.
- Maintain accurate monthly MIS reports and trackers for transport, expenses, housekeeping, and other operational areas.
- Manage ordering, inventory, and tracking of materials and supplies.
- Coordinate with the building manager for facility-related work and issue resolution.
- Ensure the upkeep and smooth functioning of the cafeteria and overall office facilities.
Office Coordination
- Coordinate for housekeeping, maintenance, and security.
- Support in organizing office events, employee engagement activities, and vendor visits.
- Assist in travel coordination, cab bookings, or other logistics
- Coordinate with vendor for escort Guards and cab requirements
Skills & Qualifications
- Bachelor's degree preferred (or equivalent qualification).
- 35 years of experience in a receptionist, front office, or administrative role.
- Strong interpersonal and communication skills.
- Proficient in MS Office applications, including Word, Excel, and Outlook.
- Demonstrates excellent customer service skills with a professional appearance and demeanor.
- Strong written and verbal communication skills in English and the local language.
- High energy, with the ability to thrive in a fast-paced, high-demand environment.
- Capable of handling all interactions with professionalism and discretion.
- Reliable, punctual, and consistent in meeting responsibilities.
Preferred
- Experience in travel desk operations, facility coordination, vendor management.
- Ability to handle confidential information with a high level of discretion.
- Strong organizational and multitasking skills
