Job Title: Office Assistant – Tender & Documentation
Working Day:
Monday to Saturday
Working Hours
10:00 AM to 6:30 PM
Compensation ₹20,000 – ₹30,000 per month (CTC), based on experience ( 2.40 to 3.60 LPA)
Experience: Minimum 2–3 years of experience in administrative, documentation, or tenderrelated
roles
Qualification: Minimum educational qualification: Higher Secondary (12th pass); graduate
preferred
Role Summary
The Office Assistant – Tender & Documentation, will be responsible for managing end-toend
documentation processes related to tender submissions, maintaining internal records, and supporting administrative operations. This role requires a high level of accuracy, strong communication skills, and the ability to manage multiple deadlines in a structured environment.
Key Responsibilities
1. Tender Management
Identify, download, and track relevant tenders from various e-procurement portals
Prepare and upload tender submissions within specified deadlines
Monitor tender status, updates, corrigendums, and submission requirements
Maintain a tracker for all active and past tenders
2. Documentation & Proposal Preparation
Draft, format, and compile technical and commercial documents for tender
submissions
Prepare official letters, declarations, and supporting documentation
Ensure all submissions comply with tender specifications and guidelines
Maintain version control and proper documentation standards
3. Portal & Compliance Management
Handle vendor registrations across multiple portals
Ensure all documentation meets compliance requirements for tender eligibility
Update company credentials, certificates, and statutory documents regularly
4. Administrative & Record Management
Maintain organized records of tenders, project documentation, and correspondence
Develop and manage filing systems (digital and physical)
Assist in general office administrative tasks as required
5. Communication & Coordination
Coordinate with internal teams for required inputs and approvals
Communicate with external stakeholders, vendors, and authorities when needed
Draft professional emails, letters, and official communications
Required Skills & Competencies
Technical Skills
Proficiency in Microsoft Office (Word, Excel, Outlook)
Familiarity with e-tendering portals (preferred)
Basic understanding of document formatting and compliance standards
Core Competencies
Strong attention to detail and accuracy
Excellent organizational and record-keeping skills
Effective written and verbal communication
Ability to work under deadlines and manage multiple tasks
Qualifications & Experience
Minimum 2–3 years of experience in administrative, documentation, or tender-related
roles
Minimum educational qualification: Higher Secondary (12th pass); graduate preferred
Prior experience in tender documentation or similar roles will be an advantage
