Job Title: Office Administrator

Job Summary
The Office Administrator will be responsible for ensuring smooth day-to-day office operations, managing vendors, maintaining amenities, coordinating with internal teams, and providing administrative support across the facility.
Key Responsibilities
Administrative & Facility Management
- Oversee daily office operations and ensure availability of all office amenities.
- Manage meeting rooms, common areas, cleanliness checks, and office hygiene standards.
- Coordinate with facility teams for maintenance, repairs, and service requests.
Cafeteria Management
- Ensure smooth operations of the cafeteria and pantry areas.
- Monitor food quality, hygiene, and timely service.
- Coordinate with food vendors and track consumption/inventory.
Vendor Management
- Identify, evaluate, and onboard new vendors as required.
- Maintain vendor contracts, service agreements, and compliance documents.
- Track vendor performance, raise service tickets, and ensure timely issue resolution.
Gate Pass & Access Management
- Create gate passes for employees, visitors, and material movement.
- Coordinate with security teams for approvals and entry management.
- Maintain logs for inbound/outbound materials.
Inventory & Supplies
- Manage stock for stationery, housekeeping items, and pantry consumables.
- Ensure timely replenishment and maintain usage records.
Coordination & Support
- Act as a point of contact for employees for facility-related concerns.
- Coordinate with HR and IT for onboarding/offboarding support.
- Assist with administrative tasks like documentation and record keeping.
Qualifications & Skills
- Graduate in any discipline (preferred).
- 13 years of experience in office administration or facility management.
- Good communication and coordination skills.
- Strong vendor management and multitasking abilities.
- Proficiency in MS Office & documentation.
