As we continue to expand, we are looking for a highly organized and proactive Office Administrator to manage day-to-day office operations and support business functions at our Mumbai office.
Job Summary
The Office Administrator will be responsible for ensuring smooth day-to-day office operations, coordinating administrative activities, maintaining records, supporting HR and finance processes, managing vendors, and creating an efficient workplace environment.
The ideal candidate should possess strong organizational skills, attention to detail, excellent communication abilities, and the capability to multitask in a fast-paced environment.
Key ResponsibilitiesOffice Administration & Operations
- Manage daily office operations and ensure smooth functioning of the workplace.
- Maintain office infrastructure, supplies, and equipment.
- Coordinate housekeeping, security, maintenance, and facility management activities.
- Monitor office expenses and maintain administrative budgets.
- Ensure proper upkeep of meeting rooms, workstations, and common areas.
- Handle incoming calls, visitors, and courier management.
Vendor & Facility Management
- Liaise with vendors, service providers, and maintenance partners.
- Negotiate quotations and coordinate procurement of office supplies and services.
- Track vendor contracts, renewals, invoices, and payments.
- Ensure timely resolution of facility-related issues.
Documentation & Record Keeping
- Maintain employee records, company documents, agreements, and licenses.
- Organize digital and physical filing systems.
- Ensure confidentiality and security of company records.
- Prepare administrative reports and operational documentation.
HR & Employee Support
- Assist with employee onboarding and exit formalities.
- Coordinate attendance, leave records, and employee documentation.
- Support recruitment scheduling and interview coordination.
- Help organize employee engagement activities and company events.
Finance & Coordination Support
- Coordinate with accounts and finance teams for invoices and expense tracking.
- Maintain records of office-related payments and reimbursements.
- Support monthly administrative reporting and MIS preparation.
- Follow up with vendors and service providers regarding billing and documentation.
Meeting & Travel Coordination
- Schedule meetings and manage calendars for leadership when required.
- Coordinate business travel arrangements, hotel bookings, and transportation.
- Prepare meeting logistics and ensure smooth execution.
Compliance & Office Governance
- Maintain office compliance records and statutory documentation.
- Ensure workplace policies and procedures are followed.
- Support management in implementing operational improvements and best practices.
Desired Skills & Qualifications
Education
- Bachelor's degree in Business Administration, Commerce, Management, or a related field.
Experience
- 3–4 years of experience in Office Administration, Executive Administration, Operations Coordination, or a similar role.
- Experience working in startups, fintech, financial services, wealth management, or professional services firms will be preferred.
Skills Required
- Excellent organizational and multitasking abilities.
- Strong verbal and written communication skills.
- Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint).
- Experience with Google Workspace.
