Job Description

Office Administrative/ HR

Experience: 3–4 years

Salary: ₹25,000– ₹30,000 per month

Position Title: Executive Assistant / Personal Assistant to CMD

Location: Thane, Mumbai.

Reporting To: Chairman & Managing Director / Director

Qualifications

Graduate / Postgraduate in any discipline

Key Responsibilities: -

Executive & Strategic Support

  • Work closely with the CMD/Director on day-to-day operations, strategic initiatives, and executive decision-making.
  • Act as a trusted liaison between CMD and internal teams, clients, business partners, and external stakeholders.

Calendar, Meetings & Communication

  • Manage complex calendars, appointments, and priority scheduling.
  • Coordinate leadership, board, and client meetings; prepare agendas and collate relevant data in advance.
  • Attend meetings and circulate Minutes of Meetings (MoM) within 24 hours, ensuring follow- ups on action points.
  • Handle independent correspondence via emails, letters, and calls on behalf of senior leadership.

HR, Administration & Process Improvement

  • Manage the end-to-end employee lifecycle: onboarding, induction, confirmation, transfers, exits, and full & final settlements.
  • Maintain accurate and up-to-date HR records and databases.
  • Prepare HR documents, including offer letters, appointment letters, experience letters, etc.
  • Manage expenses, reimbursements, and timesheets using ERP/Dynamics systems.
  • Maintain confidentiality and proper documentation of sensitive corporate and legal information.
  • Identify opportunities to improve administrative processes and increase efficiency.
  • Support special projects and act as a project coordinator when required.

Travel & Logistics

  • Plan and manage end-to-end domestic and international travel, including flights, hotels, visas, ground transfers, and itineraries.
  • Coordinate with internal teams and external vendors to ensure seamless travel arrangements.
