Job Description

As an Office Administrator Trainee, you will support the day-to-day administrative operations of the office. This role is ideal for a motivated individual looking to gain hands-on experience in office management, coordination, and support functions in a dynamic work environment.

Experience: 0-1 Years

Qualification: Any Diploma or Bachelor's Degree

Location: Assam

Responsibilities:

Facilities & Office Management

·       Maintain a clean, hygienic, and organized office environment

·       Monitor cleanliness and ensure infrastructure, seating, and resources are adequate for all employees

·       Coordinate with maintenance staff and arrange necessary repairs promptly

·       Ensure proper use of office resources including PCs, laptops, printers, and other equipment

·       Inspect and ensure all electrical equipment is turned off after office hours

Administration & Documentation

·       Maintain and file all records systematically, including contracts, POs, letters, and financial statements

·       Take regular inventory of office supplies and place orders when stock is low

·       Manage procurement and maintain assets and office equipment (printers, scanners, phones, etc.)

·       Distribute internal documents, memos, and notices to relevant departments

·       Maintain repository for easy access to important documents

Travel & Logistics Support

·       Coordinate meeting room bookings, client visits, and internal functions

Visitor & Guest Management

·       Greet and welcome all visitors, directing them to the appropriate sections or personnel

·       Monitor office security systems and implement precautionary measures as needed

Employee Onboarding & HR Support

·       Welcome new joiners and provide office tours to help them acclimate

·       Assist new employees with joining formalities and benefits paperwork

·       Introduce new hires to teams and managers to foster integration

Additional Responsibilities

·       Coordinate with external vendors and service providers for facility-related needs

·       Assist in planning and executing internal events, celebrations, or corporate social responsibility (CSR) initiatives

·       Support ad-hoc administrative tasks assigned by management

 

Skills & Qualification Required:

  • Diploma/ Degree required (in any field)
  • Excellent written and verbal communication skills
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills
  • Strong knowledge of MS Office (Word, Excel, PPT)
  • Ability to multi-task and prioritize works
  • Ability to function well in a high-paced and at times stressful environment.
  • Able to complete complex administrative tasks with minimal supervision
