What this job involves:

As an MIS & Workspace Assistant Manager at JLL, you'll serve as a strategic partner in optimizing workspace utilization and delivering comprehensive facilities insights that collectively shape a brighter way for our clients across India. This dual-focus role combines space occupancy planning expertise with robust facilities MIS management to support organizational strategic goals through data-driven decision making. You'll manage Pan India employee headcount tracking, seat allocation coordination with business units, and hybrid policy implementation while developing utilization strategies that empower teams to thrive in efficiently managed workspace environments. Working closely with APAC occupancy planning teams and various stakeholders including REWS, HR, and Segment Heads, you'll embrace innovative ways of working by leveraging advanced analytics and visualization tools to transform how workspace and facilities data informs strategic planning. The position requires a collaborative approach across diverse teams, championing inclusivity through equitable space allocation and comprehensive facilities performance tracking. You'll take the more inspiring and optimistic path by turning complex operational data into actionable insights that advance both workspace optimization and facilities excellence across our culture of collaboration locally and globally.

What your day-to-day will look like:

  • Prepare and share Pan India employee headcount data while managing space allocation according to hybrid policy requirements
  • Develop space solutions by analyzing occupancy, utilization data and creating recommendations for optimal workspace efficiency
  • Coordinate seat allocation, reallocation, and negotiate space transfers between business units based on validated business needs
  • Create neighborhood planning strategies, determine zones for mobile workers, and identify space optimization opportunities
  • Collect, consolidate, and validate daily/weekly/monthly MIS data from soft services, engineering, security, and housekeeping teams
  • Maintain interactive dashboards for facilities KPIs including SLA adherence, energy consumption, maintenance trends, and vendor performance metrics
  • Serve as single point of contact for daily operational occupancy requests and determine appropriate solutions to address client needs

Required qualifications:

  • Bachelor's degree in Business Administration, Facilities Management, Information Systems, or related field
  • 6-10 years of experience in workspace management, occupancy planning, or facilities analytics with strong MIS background
  • Advanced proficiency in Microsoft Excel for complex data analysis, modeling, and comprehensive reporting functions
  • Strong analytical mindset with attention to detail and accuracy in data management and validation processes
  • Experience in facility management operations covering both soft and hard services with knowledge of vendor performance tracking
  • Excellent communication, coordination, and presentation skills for stakeholder management across multiple business units

Preferred qualifications:

  • Proficiency in Power BI, Tableau, or similar data visualization tools for advanced analytics and interactive dashboard development
  • Experience with Computer Aided Facility Management or Integrated Workplace Management Systems for enhanced reporting accuracy
  • Knowledge of space optimization methodologies, hybrid workplace policies, and Pay Per Seat model administration
  • Ability to provide comprehensive MIS dashboards for facilities management by consolidating facility-related data including manpower, asset uptime, work orders, and service performance
  • Experience preparing and circulating standard management reports while presenting insights and summaries for business reviews and decision-making support
  • AutoCAD skills for space planning and neighborhood design projects will be an added value
