Job Purpose:

To support smooth and compliant functioning of Meril Academy Global by coordinating academy operations, aligning activities with satellite academies, managing facilities and logistics, and maintaining accurate records to ensure seamless execution of training programs, events, and daily operations.

Key Responsibilities:

1. Academy Operations & Satellite Coordination

Coordinate and align activities with satellite academies to ensure seamless planning, communication, and execution of programs.

Act as a central administrative interface between the main academy and satellite locations.

Support scheduling, information flow, and operational consistency across academy sites.

2. Event & Program Logistics Support

Plan and support end-to-end event logistics including meeting schedules, room allocation, signage, seating layouts, demo resources, and technical readiness.

Coordinate catering, accommodation, transportation, and on-ground movement for participants and faculty based on program requirements.

Ensure training and meeting rooms are prepared with required materials, equipment, and medical device setups as per program standards.

3. Documentation, Data & Inventory Management

Maintain accurate digital records of events, resources, inventory, and participant data in line with documentation and archiving guidelines.

Track participant registrations, attendance, and supporting documentation, ensuring timely reporting and compliant record retention.

Support inventory tracking for academy resources, consumables, and common-use items.

4. Facility & Office Administration

Manage weekly office and facility operations including pantry upkeep, inventory checks, mail and parcel handling, and readiness of common areas.

Ensure cleanliness, organization, and availability of shared academy spaces.

Coordinate with vendors and service providers for routine facility requirements.

5. Health, Safety & Risk Management

Identify and mitigate operational risks during events and daily operations.

Ensure strict adherence to health, safety, first-aid, and emergency protocols.

Support implementation of safety guidelines during programs, workshops, and meetings.

Qualifications and Experience:

BBA / MBA or equivalent qualification.

Minimum 3 years of experience in academy administration, office operations, training coordination, or event support roles.

Experience in healthcare, medical education, or corporate training environments is preferred.

Skills and Competencies:

Experience in coordinating academy operations and aligning activities across satellite locations.

Strong capability in event logistics, facility readiness, and end-to-end program support.

Proficient in data management, documentation, inventory control, and compliance with safety protocols.

High attention to detail in participant coordination, reporting, and record maintenance.

Strong organizational skills with the ability to manage multiple activities simultaneously.

Clear, professional communication skills and a proactive service-oriented mindset.

Accuracy and timeliness of documentation, data, and inventory records

Readiness and upkeep of training rooms and academy facilities
