Job Summary / Mohr Intro

Mohr Management is seeking a detail-oriented and organized Marketing & CRM Administrator to support our marketing and sales operations through disciplined CRM management and strong internal documentation. This role will play a key role in maintaining the accuracy and usability of our HubSpot CRM, while also organizing, standardizing and maintaining notes and insights generated by leadership and sales teams within HubSpot.

The ideal candidate is highly organized, process-minded and comfortable working closely with executives and sales professionals. This position ensures that institutional knowledge, customer insights and sales activity are accurately captured and easily retrievable.

Key Responsibilities

  • CRM Administration & Data Integrity (HubSpot)
  • Manage the day-to-day operations of HubSpot, ensuring all contact, company and deal records are accurate and up to date.
  • Maintain CRM hygiene by auditing data for accuracy, completeness and consistency.
  • Create and manage lists, views, basic reports and workflows to support marketing and sales operations.
  • Ensure that notes, call summaries and activity records are properly entered, formatted and associated with the correct records.
  • Support data imports, cleanup projects and light process documentation related to CRM usage.
  • Knowledge Management & Documentation
  • Collect notes, summaries and insights submitted by salespeople and leadership.
  • Review, standardize and organize notes so they are clear, searchable and usable by others.
  • Catalog notes within HubSpot using consistent naming conventions, properties and associations.
  • Flag missing context, unclear entries, or gaps in documentation and follow up as needed.
  • Help establish and reinforce best practices for how notes should be submitted and stored.
  • Sales & Marketing Support
  • Coordinate with stakeholders to clarify context, next steps, or ownership when needed.
  • Assist marketing leadership with ad hoc analysis, CRM-related research and reporting requests.
  • Help standardize internal documentation and note-taking practices across teams.
  • Act as a point of contact for CRM-related questions or process clarification.

Education & Experience

  • Bachelor's degree in marketing, communications, business administration, or a related field (or equivalent work experience).
  • HubSpot expertise is strictly required; proficiency in data management and CRM architecture is preferred.
  • Prior experience in marketing operations, sales operations, CRM administration, or administrative support preferred.
  • Proven record of maintaining high-quality data and documentation in a professional environment.
  • Excellent written and verbal communication skills, with a specific talent for cataloguing and summarizing complex information.

Physical Requirements

  • General office-based role with extended computer use (up to 8 hours/day).
  • Periodic standing/walking (e.g., copier/scanner usage).
  • Regularly required to talk, hear and use hands/fingers for typing.
  • Clear verbal communication and ability to read/write effectively.
  • Visual abilities required for reading printed materials and computer displays.
