Job Description

Job Title: Manager – Video Operations

Job Summary

We are seeking a highly organized and proactive Project Manager to lead our video production team. This role will be responsible for planning, executing, and delivering high-quality video content across academic, marketing, and digital platforms. The ideal candidate should have strong project management skills, stakeholder coordination experience, and the ability to manage internal teams as well as external vendors and freelancers.

Key Responsibilities

Project Planning & Execution

• Own end-to-end project management of video production—from pre-production to final delivery.

• Define project scope, timelines, milestones, and deliverables.

• Create and manage detailed project plans, trackers, and schedules.

• Ensure timely delivery of videos while maintaining quality standards.

Team Coordination & Leadership

• Lead cross-functional teams including video editors, animators, designers, and content teams.

• Allocate tasks, monitor progress, and ensure efficient resource utilization.

• Act as the primary point of contact between stakeholders, faculty, and production teams.

Vendor & Freelancer Management

• Identify, onboard, and manage a network of freelance video editors, animators, and production vendors.

• Allocate projects to freelancers/vendors based on skill, bandwidth, and project requirements.

• Negotiate timelines, deliverables, and commercials in coordination with internal teams.

• Track vendor performance, quality, and adherence to deadlines.

• Ensure clear communication of briefs, feedback, and revisions to external partners.

• Manage contracts, invoicing, and payment coordination in collaboration with finance.

• Build a reliable and scalable vendor ecosystem to support increasing production demands.

Stakeholder Management

• Collaborate with academic, content, marketing, and production teams to understand requirements.

• Manage stakeholder expectations and provide regular updates on project status.

• Ensure alignment on deliverables, timelines, and quality benchmarks.

Process & Workflow Optimization

• Build and streamline video production workflows and SOPs.

• Implement tools for project tracking, collaboration, and asset management.

• Standardize processes for working with freelancers and external vendors.

• Identify bottlenecks and improve efficiency in production cycles.

Quality & Delivery Management

• Ensure all videos meet defined quality, brand, and academic standards.

• Conduct regular reviews and coordinate feedback loops (internal + external teams).

• Manage multiple projects simultaneously without compromising timelines.

Risk & Issue Management

• Identify risks in timelines, vendor dependencies, or resource allocation.

• Proactively resolve issues and escalate when necessary.

• Create backup plans using alternate vendors/freelancers when required.

Requirements

• 3-4+ years of experience in project management

• Proven experience in managing freelancers, agencies, or external vendors.

• Strong experience in managing multiple projects and cross-functional teams.

• Excellent communication, negotiation, and stakeholder management skills.

• Strong organizational and time management abilities.
