Design, implement, and operate the organisation's delivery governance framework, PMO systems, and portfolio controls to ensure strategic initiatives are executed through disciplined, scalable, and data-driven governance processes.

This role is responsible for establishing and administering PMO tooling, governance workflows, portfolio reporting, delivery standards, and approval processes across product, project, and transformation initiatives.

The role will work closely with Product, Engineering, Finance, and Delivery teams to embed practical governance, portfolio visibility, investment traceability, and operational reporting capabilities across the organisation.

Key Responsibilities

PMO Systems & Tooling

  • Lead the configuration, implementation, and continuous improvement of PMO / portfolio / workflow management tooling
  • Design and maintain workflow logic, approval gates, templates, forms, dashboards, automations, and reporting structures
  • Establish integrations across PMO, engineering, finance, and reporting systems where applicable
  • Ensure platform data integrity, traceability, reporting quality, and user adoption
  • Support evaluation and rollout of future PMO/governance tooling capability

Governance & Delivery Framework

  • Lead the design, rollout, and operation of the Delivery Operating System (DOS) / governance framework
  • Implement and administer governance workflows, phase gates, approval pathways, and delivery controls
  • Validate submissions and governance artefacts against minimum standards prior to review forums
  • Maintain baseline templates, governance standards, and artefact libraries
  • Drive governance consistency and adoption across delivery teams

Portfolio Reporting & Insights

  • Produce executive dashboards, portfolio reporting packs, and governance insights
  • Track portfolio health, milestones, RAID, financials, governance compliance, and delivery performance
  • Work with Finance and Delivery teams to support business case tracking, investment visibility, and forecast governance
  • Provide insight into delivery trends, bottlenecks, capacity constraints, and systemic risks
  • Support leadership with data-driven portfolio and investment decision-making

Program Support & Enablement

  • Coach program and project teams on governance processes, tooling, and delivery standards
  • Support preparation of approval submissions and governance artefacts
  • Facilitate governance forums and maintain decision/action registers
  • Support adoption of consistent delivery and reporting practices across teams

Continuous Improvement

  • Identify opportunities to improve governance, workflows, tooling, reporting, and automation capability
  • Lead continuous evolution of PMO systems, governance workflows, portfolio visibility, and reporting maturity
  • Benchmark and implement practical best-practice delivery governance approaches
  • Continuously refine governance processes to balance control, visibility, and delivery agility

Experience Required

  • 5+ years experience in PMO, Program Operations, Portfolio Operations, Delivery Governance, or similar operational delivery roles
  • Proven experience establishing, configuring, and administering PMO / workflow / portfolio management systems from the ground up, not just operating existing environments
  • Hands-on experience configuring workflow logic, approval gates, forms, dashboards, automations, integrations, and portfolio reporting
  • Experience with platforms such as Planview, Jira, YouTrack, Monday.com, Smartsheet, Zoho, ServiceNow, or equivalent enterprise workflow / PMO tooling
  • Strong understanding of project/program governance frameworks, stage-gate delivery models, and portfolio governance principles
  • Experience creating executive dashboards, portfolio reporting packs, and governance insights
  • Experience supporting enterprise or cross-functional strategic delivery initiatives
  • Exposure to investment governance, business case tracking, financial governance, or portfolio funding oversight highly regarded
