Role OverviewThe Manager – Project Fulfilment is responsible for leading the end-to-end management and execution of projects, ensuring delivery within agreed scope, timelines, budgets, and quality standards. The role requires strong project planning, coordination, monitoring, and control to drive successful project outcomes.
This position owns the complete project lifecycle—from project initiation and planning through execution, monitoring, and closure—while maintaining risk management, change control, and stakeholder communication processes. The Manager will work closely with cross-functional teams, vendors, contractors, and clients to ensure seamless execution and timely resolution of project challenges. Working closely with the Head – Projects & Order Fulfilment, the role ensures strategic alignment and decision-making.
Key Responsibilities- Project Planning & Execution
- Lead end-to-end project management from project handover through design development, production, delivery, installation, and project closure.
- Develop detailed project plans, schedules, milestones, and resource allocation plans for each project.
- Define project scope, deliverables, timelines, budgets, and quality requirements in collaboration with internal stakeholders.
- Monitor project progress against agreed schedules and proactively address delays, bottlenecks, and execution risks.
- Ensure projects are delivered on time, within budget, and in accordance with client expectations and quality standards.
- Design and Production Coordination
- Coordinate closely with design, creative, and technical teams to translate concepts into executable production plans.
- Ensure timely release of drawings, specifications, material selections, prototypes, and approvals required for execution.
- Manage the transition from design development to production and installation while maintaining design intent.
- Facilitate reviews and approvals at key project stages to avoid rework and delays.
- Vendor, Artisan & Partner Management
- Identify, onboard, and manage artisans, fabricators, craftsmen, suppliers, and specialist vendors required for project execution.
- Coordinate production schedules across multiple external partners and workshops.
- Monitor vendor performance, quality, capacity, timelines, and compliance with project requirements.
- Resolve production and execution challenges through effective collaboration with external stakeholders.
- Budget & Cost Control
- Track project budgets, procurement costs, fabrication costs, logistics expenses, and installation costs.
- Monitor project profitability and identify opportunities for cost optimization without compromising quality.
- Review and approve project expenditures within delegated authority.
- Procurement & Material Management
- Plan and coordinate procurement of materials, artefacts, finishes, hardware, and bespoke components.
- Ensure timely availability of materials aligned with production and installation schedules.
- Monitor material quality, inventory requirements, and supplier commitments.
- Quality Management
- Establish and maintain quality control processes across design, fabrication, finishing, packaging, and installation stages.
- Conduct periodic reviews and inspections to ensure workmanship and product quality meet project specifications.
- Ensure final deliverables accurately reflect approved designs and client expectations.
- Logistics & Installation Management
- Plan and oversee dispatch, transportation, site delivery, and installation activities.
- Coordinate site readiness requirements with clients, contractors, architects, and project consultants.
- Ensure safe and efficient installation of artworks, murals, sculptures, bespoke furniture, and crafted elements.
- Manage installation teams and resolve site-related execution challenges.
- Systems & Process Tracking
- Implement project management methodologies, reporting systems, and execution frameworks.
- Maintain project documentation, trackers, schedules, approvals, contracts, and completion records using tools like Zoho Project
- Drive continuous improvement in project delivery processes, vendor coordination, and operational efficiency.
- Ensure compliance with organizational standards, contractual obligations, and health and safety requirements.
Required Skills- 5–7 years of experience in project execution, production, operations and site coordination
- Experience working in one or more of the following industries:
Art and design projects
Interior fit-outs and bespoke interiors
Hospitality projects
Craft-based manufacturing and installations
- Educational background in design, production and projects or related fields
- Strong ownership mindset with ability to drive execution independently
- Excellent coordination and stakeholder management skills
- Ability to manage multiple projects simultaneously
- Working knowledge of Excel and project tracking tools (Zoho preferred)
- Strong problem-solving approach with focus on delivery and timelines
