Role Overview
We are looking for a Manager – AR & Collections Operations (Dental RCM) to lead a team of 10–15 associates supporting Canada-based dental clinics and dental healthcare clients.
This is not a plug-and-play role.
We are looking for an entrepreneurial, ownership-driven leader who can independently build, manage, and scale operations with minimal supervision.
This role requires someone who can:
- Build and scale teams from the ground up
- Establish workflows, SOPs, and operational controls
- Define KPIs, reporting structures, and performance benchmarks
- Drive process improvements and operational efficiency
- Lead people, processes, and client delivery simultaneously
You will be responsible for end-to-end ownership of:
- Dental AR & Collections
- Insurance Coordination & Claims Follow-up
- Payment/POS Posting
- Denial Management
- Team Performance & Reporting
Prior experience supporting dental clinics, DSOs, or dental billing operations will be highly preferred.
Key Responsibilities
1. Team Building & Leadership
- Hire, onboard, and manage a team of 10–15 associates
- Define team structure, responsibilities, and workflow ownership
- Drive:
Work allocation strategy
Capacity planning
Backup and redundancy planning
One-on-one sessions
Performance reviews (KPI/KRA driven)
Coaching and mentoring sessions
- Build a culture of accountability, ownership, and high performance
2. Dental AR & Collections Operations
- Own end-to-end Dental AR & Collections lifecycle
- Establish structured follow-up mechanisms for:
- Insurance receivables
- Patient balances
- Outstanding dental claims
- Drive improvements in:
AR aging
Collection rates
Cash flow realization
- Ensure timely closure of ageing buckets and backlog clearance
3. Insurance Coordination & Denial Management
- Manage dental insurance claim workflows, including:
Claim submission and follow-ups
Coordination of Benefits (COB)
Primary and secondary insurance coordination
Predetermination and treatment-related claims
Denials
Underpayments
Partial payments
- Ensure accurate interpretation of dental EOBs and payer responses
- Drive root-cause analysis and prevention of recurring denials
4. Payment Posting & Financial Accuracy Oversight
- Establish controls for accurate posting of:
Insurance payments
Patient payments
Adjustments and write-offs
Reconciliation processes
- Ensure audit readiness and data accuracy at all times
5. KPI Definition, Reporting & Performance Management
- Design and implement KPIs from scratch, including:
Productivity and utilization
Quality and accuracy
AR days and collection efficiency
Denial and recovery rates
Insurance ageing metrics
Daily/weekly/monthly dashboards and reports
- Monitor team performance and take corrective actions proactively
- Drive accountability through data-backed decision-making
6. Client Management & Escalation Handling
- Act as the primary point of contact for client stakeholders
- Establish reporting cadence and operational review mechanisms
- Handle escalations independently and drive resolution
- Provide recommendations to improve collections and operational efficiency
7. Process Setup, SOPs & Workflow Design
- Build processes from the ground up, including:
SOPs
Checklists
Workflow maps
Reporting structures
- Ensure compliance with internal and client-specific requirements
- Identify operational gaps and implement process improvements
- Ensure uninterrupted workflow and backlog control
8. Quality Control & Operational Excellence
- Establish QA frameworks and audit mechanisms
- Conduct regular quality reviews and feedback sessions
- Lead performance and quality review meetings
- Drive continuous improvement initiatives across operations
9. Automation & Scaling
- Identify opportunities for:
Process automation
Workflow optimization
Reporting improvements
- Collaborate with internal teams for implementation
- Build scalable systems to support future growth
Required Experience & Skills
Must-Have Qualifications
- 8–10+ years of experience in Dental RCM / Dental AR & Collections
- Minimum 3+ years of team management experience handling 10+ members
- Strong expertise in:
Dental AR & Collections
Dental insurance coordination and claims lifecycle
Denial management and EOB interpretation
Insurance follow-up and collections workflows
Canada or North American dental insurance workflows
Insurance portals and dental billing systems
Payment/POS posting systems
Building or scaling teams/processes from scratch
KPI definition and performance management
SLA and productivity management
- Strong communication, leadership, and stakeholder management skills
Preferred Qualifications
- Experience supporting dental clinics, DSOs, or multi-location dental practices
- Exposure to dental PMS/software such as:
Dentrix
Cleardent
- Experience in process transitions or new client onboarding
- Strong reporting and analytical skills (Excel, dashboards, operational reporting)
- Familiarity with dental coding and insurance billing workflows
