Job Title: Documentation Controller

Role Objective:
To manage, control, and maintain all engineering and technical documents related to solar power project development, ensuring traceability, version control, compliance, and timely accessibility to all stakeholders throughout the project lifecycle (Development, Design, Procurement, Construction & Commissioning).
Key Responsibilities:
Document Management & Control
- Establish, implement, and maintain Document Control procedures as per ISO standards and Avaada Quality Management Systems.
- Manage receipt, review, registration, distribution, archiving, and retrieval of engineering documents including drawings, specifications, data sheets, RFIs, and change orders.
- Maintain Master Document Register (MDR) with proper metadata, revision history, and approval status.
- Ensure timely circulation of AFC (Approved for Construction) drawings to Site Execution Teams and EPC contractors.
- Coordinate document transmittal workflows using digital document management systems (e.g., Aconex, SharePoint, BIM360, etc.).
Compliance & Coordination
- Ensure document compliance with statutory guidelines, grid codes, OEM requirements, and internal engineering standards.
- Monitor deliverables from design consultants, OEMs, EPC partners, and ensure turnaround time commitments are met.
- Track comments, design review cycles, and ensure closure within defined timelines.
- Support audits by providing accurate documentation and traceability records.
Quality & Governance
- Conduct periodic document audits to maintain data integrity, security, and revision control.
- Implement consistent document numbering, naming conventions, checklists, and approval matrix.
Skills & Competencies:
- Strong understanding of the engineering documentation related to Solar PV, Transmission Line, and Substation Infrastructure.
- Proficiency in DMS tools: Aconex / SharePoint / AutoCAD Viewer / MS Office / PDF Editing tools.
- Excellent communication skills and ability to coordinate across Engineering, Procurement, Site, and QA/QC teams.
- Detail-oriented, organized, and able to manage multiple files with strict timelines.
Qualification & Experience:
- Diploma / Graduate in Engineering or similar discipline preferred.
- 3–7 years of experience in Engineering Documentation Management within Solar / Renewable / Power / Infrastructure sector.
Key Performance Indicators (KPIs):
- Document turnaround time adherence
- Zero mismatch in revision/version control
- Compliance with QA/QC and audit requirements
- Timely issuance of AFC & As-Built documentation
- Stakeholder feedback and interface efficiency
