Purpose

To manage and coordinate end-to-end administration and facilities operations across multiple company locations through strong vendor management, planned site oversight, and process-driven governance. The role focuses on ensuring service continuity, compliance, safety, and cost control, supported by established vendors and defined processes.

Key Missions

Act as the central point of coordination for administration and facilities management across HO Noida, NSEZ Factory, Bangalore Office, and Delhi Office.
Plan and oversee infrastructure and AMC services (PRI/EPBX, UPS, air conditioning, electrical systems, power backup) through vendor-led delivery and periodic reviews.
Manage office support services and consumables, including printer rentals, stationery, housekeeping materials, pantry operations, and tea/coffee machines, ensuring availability and service standards.
Coordinate third-party manpower services (housekeeping, M&E, pantry staff, security), focusing on service quality, attendance validation, and statutory compliance.
Oversee employee transportation services, ensuring safety standards, route effectiveness, and billing accuracy.
Coordinate visa processing and travel/medical insurance requirements in line with company policy.
Ensure workplace safety and security compliance, including oversight of CCTV, access control, fire safety systems, BMS, and visitor management systems.
Manage leasing and rentals, including invoice validation, CAM charges reconciliation, and landlord coordination.
Own vendor coordination, invoice validation, PR/PO facilitation, budgeting inputs, MIS reporting, and cost optimization initiatives.
Coordinate and facilitate Admin, Facility, Safety, Fire, and Electrical Audits, ensuring audit readiness, documentation, and closure of observations.
Monitoring utility usage and costs (e.g., energy, water, waste).
Conduct planned site visits and periodic reviews to assess service delivery, compliance, and improvement opportunities.
Ensuring compliance with regulations and safety standards and Support sustainability goals by reducing water and power consumption.

Qualifications & Experience
Graduate / Postgraduate preferred
815 years of experience in administration/facilities roles
Exposure to corporate offices and factory/manufacturing environments
Experience in standalone or lean admin setups is an advantage

Skills & Competencies
Knowledge of ISO-9001 and OHSAS system is must have
Strong grounding in Administration & Facilities Management
Experience managing multi-location operations through vendors
Vendor coordination, contract understanding, and service monitoring
Working knowledge of safety, statutory compliance, and audits
Financial awareness with focus on invoice scrutiny and cost efficiency
Organized, methodical, and calm approach to handling multiple priorities
Clear communication and stakeholder coordination skills
