Job Description

Job Title: Administration Operations - Manager

Location: Bangalore

Role Overview

The role will be responsible for leading the administration, infrastructure, logistics, and workplace operations teams, globally. The role requires a strategic leader with proven expertise in managing big teams to plan, upkeep and Manage – Infrastructure (Real estate and Operations), Capex, Logistics, BCP and EHS for all sites of Ascendion globally. The role will also develop the sustainability goals and will be responsible for Compliance management (Statutory and Regulatory and Sustainability).

Key Responsibilities

  • Administration & Workplace Operations (Globally)
  • Lead end-to-end facilities management, security, housekeeping, transport, cafeteria, and employee services across multiple geographies.
  • Budget and forecasting for Operational expenses for all the facilities
  • Establish policies and SOPs to ensure operational excellence, safety, and compliance.
  • Drive sustainability initiatives (green buildings, energy optimization, waste management).
  • Plan and strive for facility related Recognitions and Accreditation (like IGBC, Golden Peacock Sustainability etc.)
  • Run Daily/monthly/Quarterly Dashboards for above
  • Business Continuity Planning & Crisis Management
  • Establish and maintain a BCP and disaster recovery framework for all global operations
  • Conduct regular risk assessments, audits, and simulation drills
  • Lead crisis response and ensure minimal disruption during contingencies (e.g., natural disasters, IT outages, health emergencies)
  • Logistics & Global Support Services
  • Manage domestic and international logistics, offsite warehousing, and distribution to support business continuity
  • Build strong vendor relationships to ensure uninterrupted supply and cost-effectiveness
  • Standardize global operations while accommodating local statutory requirements
  • Leadership & Governance
  • Develop and mentor a high-performing operations and facilities team across regions
  • Report operational performance, risks, and cost savings to senior leadership
  • Leverage technology platforms for automation, monitoring, and reporting
  • Health, Safety & Environment (HSE)
  • Own HSE strategy and compliance across all facilities, ensuring adherence to local and international regulations.
  • Implement workplace safety programs, audits, and incident management systems.
  • Promote a safety-first culture, with training and awareness programs for employees and contractors.

Key Skills & Competencies

  • Deep knowledge of Business Continuity Management (ISO 22301 preferred).
  • Hands-on experience in global administration, workplace, and logistics operations.
  • Strong financial acumen for budgeting and investment planning.
  • Excellent leadership, stakeholder management, communication management and crisis management skills.
  • Familiarity with ERP/operations platforms (Oracle, NetSuite, SAP, etc.) is an advantage.

Qualifications & Experience

  • Bachelor's degree in Business Administration / Engineering / Operations. MBA preferred.
  • 15+ years of progressive experience in operations, infrastructure, or facilities management, with at least 5 years in a senior leadership role.
  • Proven track record in managing CAPEX projects and global workplace operations.
  • Prior experience in ITES/Technology/Global MNC environments preferred.
